About The Position

As a Talent Acquisition Coordinator at Mosaic Medical, you will play a crucial role in supporting the recruitment and hiring processes within our organization. This position is essential for ensuring a seamless and effective talent acquisition process from start to finish. You will be responsible for coordinating various facets of talent acquisition, which requires exceptional organizational abilities, strong attention to detail, and the capability to work collaboratively with both hiring managers and candidates. Your role will involve administrative support, recruitment coordination, and system administration, all aimed at enhancing the overall recruitment experience for candidates and hiring teams alike. In the administrative support aspect, you will coordinate the job opportunity process for new and replacement positions, ensuring accurate position control tracking, data entry, and approvals. You will also support the job description and classification process, ensuring that all necessary steps are completed in coordination with internal partners. Partnering with the Talent Acquisition Manager, you will develop advertising and sourcing plans to attract talent, place job advertisements, and maintain their activity to generate candidate traffic. Additionally, you will serve as a backup point of contact for state and national organizations, post job openings, and complete employee verifications for loan programs. Your responsibilities will also include processing invoices and expenses related to talent acquisition, scheduling and coordinating recruitment events, and ensuring timely entry and completion of HR process checklists. In terms of recruitment coordination, you will update and maintain the Applicant Tracking System (ATS) to ensure data accuracy and current candidate statuses. You will coordinate and schedule interviews, both in-person and virtual, ensuring that all parties involved are well-informed and prepared. This includes creating itineraries, provider packets, and thank you gifts for candidates. You will conduct candidate screenings and initial interviews to evaluate skills and determine organizational fit, focusing primarily on non-provider and non-leader roles. Additionally, you will coordinate travel and hotel accommodations for select candidates and process their reimbursements. Building strong relationships with hiring leaders will be key, as you will collaboratively develop recruitment plans and communicate consistently to facilitate an efficient recruiting process and positive candidate experience. You will also facilitate the pre-employment screening process, including background checks and drug screenings, and coordinate onboarding communication with new hires to ensure a smooth transition into the organization. As the system administrator for the ATS and online onboarding system, you will be the primary contact for employees and vendors regarding system-related inquiries. You will identify opportunities for improving the candidate and supervisor experience, maintain system setup, and resolve any issues that arise. Training for ATS and onboarding system users will also be part of your responsibilities, partnering with the Talent Acquisition Manager to develop and deliver effective training sessions.
