About the position

The Talent Acquisition Coordinator plays a crucial role in supporting the Talent Acquisition Team by managing the full-cycle recruitment process for various roles within the institution. This position focuses on operational support to ensure effective recruitment and people operations, with a hybrid work arrangement based in Woods Hole, MA. The coordinator will engage in candidate interviews, recruitment events, and various administrative tasks to facilitate a seamless hiring process.

Responsibilities

  • Partner with Talent Acquisition Specialists and the TA Manager to support candidate attraction and evaluation.
  • Schedule interviews and manage documentation for the hiring process.
  • Provide regular reporting updates on funnel metrics and candidate activity.
  • Attend career fairs, conferences, and recruitment events as the face of WHOI.
  • Support a diverse workforce and ensure compliance with guidelines and procedures.
  • Maintain accurate candidate tracking in the Applicant Tracking System for EEO and AAP reporting.
  • Post job positions internally and externally on appropriate sites.
  • Collaborate with Total Rewards/Benefits and HR for onboarding new hires.
  • Manage offer and hiring paperwork.
  • Perform adhoc People Ops and Talent duties as assigned.

Requirements

  • BS/BA degree or high school diploma/GED with 2 years of relevant administrative support experience.
  • Ability to communicate effectively in written and verbal form with employees at all levels.
  • Proficiency in MS Office Suite (or Office online).
  • Ability to review and edit job descriptions and other written materials.
  • Attention to detail and strong time management skills.

Nice-to-haves

  • Experience supporting an HR or talent function.
  • Experience using Workday Recruiting or other applicant tracking systems.
  • Experience in a scientific, engineering, or tech organization.
  • Demonstrated commitment to diversity, equity, engagement, and inclusive recruitment practices.
