About the position

EPIC Insurance Brokers & Consultants is seeking a TA Operations Associate - Custom Hires to join our Corporate Talent Acquisition (TA) Team. This position is pivotal in the recruitment process, ensuring seamless operations and exceptional customer service. The role involves significant data entry and accuracy within our Applicant Tracking System (ATS), Greenhouse, as well as managing candidate offer letters, background checks, and assessment testing for candidates. The ideal candidate will possess strong attention to detail, excellent organizational skills, and a customer-centric mindset, with a sense of urgency to assist others. This hybrid role requires candidates to work at least one day a week from one of our EPIC office locations, with a preference for candidates in the Central Time Zone to best support team members across all time zones. In this role, you will be responsible for moving identified hires through the ATS system, which includes entering candidate information, generating offer letters, initiating background checks, and assessments, and ensuring a smooth handoff to the Onboarding team. You will act as the centralized function for all custom hires, providing exceptional customer service to both candidates and hiring managers throughout the hiring process. Collaboration with support teams such as HR Ops and HRBP's is essential to facilitate the onboarding of new custom hires. You will also participate actively in team meetings and support Talent Acquisition Partners with recruiting tasks as needed. This position is critical to the hiring of custom hires and interacts with all levels of employees, making it a dynamic and engaging role.

Responsibilities

  • Seamlessly move identified hires through the ATS system including entering candidate information and generating offer letters.
  • Initiate and manage background checks and assessments for candidates.
  • Act as the centralized function for custom hires who may have employment agreements or are selected for hire without TA involvement.
  • Provide exceptional customer service to candidates and hiring managers throughout the hiring process.
  • Collaborate with HR Ops, HRBP's, and HRA's to facilitate onboarding of new custom hires.
  • Participate in team meetings, functions, and trainings as an active member of the Talent Acquisition team.
  • Support Talent Acquisition Partners with recruiting tasks as needed.
  • Work on special projects and initiatives as assigned.
  • Ensure adherence to Talent Acquisition and HR policies and procedures.
  • Maintain legal and regulatory compliance.

Requirements

  • 2+ years of relevant experience in talent acquisition or HR operations.
  • Proficiency in Microsoft Office Suite and other standard professional software programs; ATS and/or HRIS/HCM software experience preferred.
  • Strong written and verbal communication skills, able to interact with people at all levels.
  • Ability to be a self-starter and self-directed, willing to research and find answers first.
  • Team player who strives to provide great customer service to both internal and external customers.
  • Strong attention to detail and organizational skills, with the ability to manage changing priorities and multi-task.
