About the position

The Talent Acquisition Specialist at CareWell Health plays a crucial role in supporting the organization's human capital by performing various HR-related duties at a professional level. This position works closely with senior HR management to ensure effective human resource operations. The specialist is responsible for providing customer service to all hospital employees, maintaining accurate records, and ensuring compliance with various HR processes. The role requires a strong focus on record-keeping, data entry, and employee onboarding, making it essential for the smooth functioning of the HR department. In this position, the specialist will input employee data into the HRIS system, which is necessary for creating or updating personnel files. This includes managing initial registrations, certification dates, and processing employee separations. The specialist will also interact with the Talent Acquisition and HR Operations teams to ensure compliance with onboarding requirements for new hires. Maintaining and verifying ongoing licensure and certification for employees is another critical aspect of this role, along with informing the HR Director of any unresolved issues related to employee records. The Talent Acquisition Specialist will also be responsible for creating reports as requested by the Chief Human Resources Officer (CHRO) and the HR Director, completing various data requests, and maintaining confidentiality of employee files. The role includes overseeing the new hire orientation process for both clinical and nonclinical departments, managing curriculum in the HRIS/LMS system, and assisting department heads with annual mandatory training. Additionally, the specialist will coordinate onboarding with Employee Health, monitor employment verifications, and manage various administrative tasks to support the HR team.

Responsibilities

  • Input employee data into the HRIS system necessary to create or update employee personnel files.
  • Process all transfers and promotions in the HRIS system.
  • Interact with the Talent Acquisition team and HR Operations team regarding onboarding requirements and compliance.
  • Maintain and verify ongoing licensure, certification, and AHA compliance for employees.
  • Create reports as requested by the CHRO and HR Director.
  • Complete daily, monthly, and annual data requests as required.
  • Maintain employee files and ensure confidentiality of employee records.
  • Verify that staff licensure is up to date and send notices to departments with late registrations.
  • Oversee and assist in facilitating the new hire orientation process for clinical and nonclinical departments.
  • Manage curriculum in the HRIS/LMS system for clinical and nonclinical departments.
  • Assist department heads in preparation and management of annual mandatory training.
  • Track annual competencies and mandatory training of all hospital employees.
  • Coordinate onboarding with Employee Health.
  • Monitor the fax line daily and complete employment verifications.
  • Run monthly employee anniversary and birthday reports and send emails to department heads.
  • Sort department mail and distribute to appropriate HR team members.
  • Coordinate Handle with Care classes and update the EP conference room calendar.
  • Provide office services support for administrators by inputting data, gathering information, preparing reports, and maintaining files.

Requirements

  • Bachelor's Degree in Human Resources or related field.
  • Minimum of two (2) years of general office experience, preferably in a Human Resources Department.
  • Proficient in Microsoft Word and Excel, with advanced Excel skills highly desirable.
  • Knowledge of LMS, HealthStream, Kronos, and ADP systems is helpful.
  • Excellent interpersonal skills and ability to interact with HR personnel in a professional manner.
  • Strong attention to detail and ability to multitask.
