About the position

The Talent Acquisition Operations Specialist plays a vital role in supporting recruitment efforts and ensuring a smooth onboarding experience for new hires. This position involves preparing offer letters, maintaining candidate information, coordinating interviews, and assisting with various pre-employment processes. The specialist will also oversee system reporting, workflow management, and process improvements while acting as a liaison with internal and external partners.

Responsibilities

  • Prepare offer letters and maintain candidate information.
  • Coordinate interviews and assist with pre-employment processes.
  • Oversee and maintain reporting for candidate information and deployment dates.
  • Track candidates through the pre-employment and onboarding process.
  • Initiate background checks and maintain completion tracking with vendors.
  • Create offer letters within the applicant tracking system.
  • Collect and maintain necessary documents for incoming employees.
  • Act as a liaison to internal partners and customers.
  • Coordinate interview scheduling and travel arrangements as needed.
  • Complete requisition audits, including interview notes and candidate dispositioning.
  • Post jobs on external platforms as needed/requested.
  • Enter requisitions into Workday for review by specialists/partners/senior partners.
  • Conduct rehire checks and employment verification as needed.
  • Act as the main point of contact for reporting and maintaining tracker maintenance.

Requirements

  • Bachelor's degree and 2 years of related experience; equivalent experience will be considered in lieu of a degree.
  • Prior experience in an HR or Talent Acquisition support role with access to confidential documents.
  • Demonstrated experience with Excel and HR or Applicant Tracking Systems.
  • Proven organizational skills and process improvement experience.
