About the position

PSSI is seeking a Talent Acquisition Specialist who will play a crucial role in supporting our recruitment team by providing essential administrative and operational support. This position is designed for an organized and detail-oriented professional who is passionate about talent acquisition. The Talent Acquisition Specialist will ensure the seamless operation of our recruitment processes, manage recruitment tools, and maintain data accuracy to help us attract and retain top talent. The ideal candidate will thrive in a fast-paced environment and be ready to make a significant impact on our talent acquisition function. In this role, you will be responsible for a variety of tasks that include providing comprehensive administrative assistance to the Talent Acquisition team, managing recruitment tool access, and ensuring that internal and external communication templates are readily available. You will oversee the maintenance and functionality of Applicant Tracking Systems (ATS) and other recruitment tools, ensuring optimal performance and user experience. Additionally, you will ensure the accuracy and integrity of all recruitment data by regularly auditing records, updating candidate information, and generating reports to support data-driven decision-making. The Talent Acquisition Specialist will also assist in identifying and implementing process improvements to streamline recruitment operations and enhance the efficiency of the talent acquisition function. You will coordinate with external vendors, such as job boards and recruitment agencies, to ensure seamless service delivery and maintain positive relationships. Compliance with company policies and legal regulations in all recruitment processes is essential, as is collaboration with team members and HR partners to align with overall recruitment goals and strategies. You will also assist in maintaining training materials and documentation related to recruitment processes and tools, and support special projects related to talent acquisition as needed.

Responsibilities

  • Provide comprehensive administrative assistance to the Talent Acquisition team.
  • Manage recruitment tool access and training, and maintain internal and external communication templates.
  • Oversee the maintenance, accessibility, and functionality of Applicant Tracking Systems (ATS) and other recruitment tools.
  • Ensure the accuracy and integrity of all recruitment data by regularly auditing records and updating candidate information.
  • Generate reports to support data-driven decision-making.
  • Assist in identifying and implementing process improvements to streamline recruitment operations.
  • Coordinate with external vendors to ensure seamless service delivery and maintain positive relationships.
  • Maintain compliance with company policies, legal regulations, and industry standards in all recruitment processes.
  • Work closely with Talent Acquisition team members and HR partners to ensure alignment with overall recruitment goals and strategies.
  • Assist in maintaining training materials, training completion logs, and standard operating procedures related to recruitment processes and tools.
  • Assist with special projects and initiatives related to talent acquisition, such as employer branding efforts and diversity recruiting programs.

Requirements

  • Must be 18 years of age or older.
  • Bachelor's degree in HR, Business Administration, or a related field, or equivalent work experience.
  • 2 or more years of experience in a recruitment or HR support role, focusing on administrative and operational tasks.
  • Proficiency in Microsoft Office Suite and experience with Applicant Tracking Systems (ATS) and other recruitment tools.

Nice-to-haves

  • Bilingual - English/Spanish.
  • Business Intelligence Tool experience or significant report building experience.
  • Experience in a high-volume recruitment environment.
  • Familiarity with Human Resource Information Systems (HRIS) and other HR technologies.
  • Professional Certifications such as PHR or SHRM-CP.
