About the position

This role is responsible for driving operational excellence across the talent acquisition function. Supporting Recruiters and Hiring Managers, you will enhance our commitment to being a world-class Talent Acquisition organization. You will provide administrative and operations support to the Talent Acquisition team. This role will contribute to creating and maintaining efficient work processes, systems, and programs and provide a professional level of recruiting support background and experience to carry out responsibilities in a variety of areas within Talent Acquisition. Essential duties include coordinating complex interview schedules and assisting with candidate travel arrangements and reimbursements as needed. You will facilitate onsite interviews for candidates and interview panels, which includes greeting and checking in candidates, ordering lunches, and walking candidates out. Conducting reference checks as needed and handling administrative needs of the Talent Acquisition team will also be part of your responsibilities. You will assure that all aspects of the recruiting process, policies, and procedures are in compliance with employment regulations and laws at all levels, as well as with Exelixis internal policies and procedures. Additionally, you will assist with maintaining requisitions and recruiting information in the applicant tracking system, complete various Talent Acquisition internal audits (file retention policy), and coordinate debrief sessions for interview panels, recruiters, and hiring managers. You may also participate in these sessions. Sourcing potential candidates via cold calls, social media outlets, or employee referrals will be part of your role, along with establishing strong internal and external relationships. Special projects may be assigned as needed.

Responsibilities

  • Coordinate complex interview schedules and assist with candidate travel arrangements and reimbursements as needed.

  • Conduct reference checks as needed.
  • Handle administrative needs of the Talent Acquisition team as requested, including TA event/meeting planning and coordination.
  • Ensure compliance with employment regulations and internal policies throughout the recruiting process.
  • Assist with maintaining requisitions and recruiting information in the applicant tracking system.
  • Complete various Talent Acquisition internal audits (file retention policy).
  • Coordinate debrief sessions for interview panels, recruiters, and hiring managers, and may participate in these sessions.
  • Source potential candidates via cold calls, social media outlets, or employee referrals.
  • Establish strong internal and external relationships.
  • Assist with special projects as assigned.

Requirements

  • Bachelor's degree (B.A/B.S.) from a four-year college or university or equivalent combination of education and/or experience.
  • A minimum of two to three years related experience, preferred, or equivalent combination of education and/or experience.
  • Excellent organizational skills with strong attention to detail.
  • Strong work ethic and ability to complete work within deadlines.
  • Excellent skills in MS Office, including Word, Excel, Outlook, and PowerPoint.
  • Strong interpersonal, oral, and written communication skills.
  • Ability to communicate effectively with all employee levels.
  • Ability to work in a fast-paced and team-based environment and manage multiple priorities.
  • Ability to build and maintain strong relationships.
  • Ability to analyze information, prepare appropriate recommendations, and effectively implement various TA initiatives.
