About the position

The Talent Experience Specialist in Talent Acquisition at Health First plays a crucial role in supporting the recruitment team by managing the logistics of the hiring process. This position requires a high degree of attention to detail and strong organizational skills to ensure that all interview arrangements are executed flawlessly. The specialist will coordinate interviews between candidates, recruiters, and hiring leaders, utilizing Microsoft Outlook and Teams to facilitate scheduling and communication. It is essential to maintain clear and constant communication with candidates and hiring managers, providing timely updates on application statuses, next steps, and offer guidance throughout the hiring process. In addition to scheduling interviews, the Talent Experience Specialist will perform various administrative duties, including data entry, documentation generation, and record-keeping to ensure compliance with hiring regulations and standards. The role also involves promoting Health First's culture and values, ensuring a positive experience for all candidates and hiring managers involved in the recruitment process. The specialist will assist in creating and posting job openings within the Application Tracking System (ATS) and monitor the performance of these postings, making adjustments as necessary. Furthermore, the specialist will support new hires during the onboarding process, helping them complete necessary paperwork and coordinating training to ensure a smooth transition into the organization. This position is vital for fostering a positive candidate experience and ensuring that the recruitment process aligns with Health First's values and standards.

Responsibilities

  • Assist the recruitment team with scheduling and coordinating interviews between candidates, recruiters, and hiring leaders using Microsoft Outlook and Teams.
  • Demonstrate a high degree of attention to detail by ensuring all interview logistics such as interview room reservations are confirmed, video conferencing links are correct, and confirmations have been received by all parties.
  • Maintain constant and clear communication between candidates and hiring managers to provide accurate and timely updates on their application status, next steps, offer guidance, and support through the hiring process.
  • Perform administrative duties including data entry, documentation generation and collection, and accurate record keeping ensuring compliance with the hiring process along with any applicable regulations and standards.
  • Positively promote Health First's culture and values by building and maintaining a positive experience for all involved during the hiring process.
  • Assist with creating and posting job openings within the Application Tracking System (ATS), career site and any applicable job sites.
  • Monitor the performance of job postings and adjust as needed.
  • Assist new hires with the onboarding process, including completing paperwork and coordinating training to ensure a smooth process for new employees and internal associates.

Requirements

  • High School Diploma or GED required.
  • 6+ months of relevant work experience in a similar role.
  • Proficient with Microsoft Office 365 including Teams, SharePoint, Word, PowerPoint, Excel, and Outlook.
  • Strong organizational skills and time management abilities to perform multiple tasks with varying priorities.
  • Effective communication skills, both written and verbal, to interact with associates and hiring managers.
  • Ability to provide a positive experience through responsiveness, professionalism, and empathy.

Nice-to-haves

  • Associate's Degree preferred.
  • Experience with PowerBI or any other data analytics tool.
  • Understanding of HR principles, practices, and policies including knowledge of talent management, career development, employee relations, and workforce planning.
  • Ability to analyze data to measure the effectiveness of the hiring process and make data-driven improvements.
