About the position

Aultman Health Foundation is seeking a dedicated Talent Onboarding Assistant to join our team in Canton, OH. This full-time position plays a crucial role in the onboarding process of new colleagues, ensuring a smooth transition from recruitment to the first day of orientation. Aultman is an integrated healthcare system that includes Aultman Hospital, Aultman Orrville Hospital, Aultman Alliance Community Hospital, AultCare, The Aultman Foundation, and Aultman College, employing over 7,000 colleagues and over 1,000 active providers. The Talent Onboarding Assistant will be responsible for managing the onboarding process for over 1,000 new hires annually, requiring exceptional attention to detail and the ability to juggle multiple tasks simultaneously. In this role, the assistant will develop relationships with new colleagues and ensure that all regulatory and required items for employment transition are met. The position demands adaptability to unforeseen circumstances and the ability to navigate changes with autonomy. The Talent Onboarding Assistant will work closely with the talent team and human resources, assisting with various duties to facilitate a seamless onboarding experience for new hires. This includes monitoring pre-hire requirements, scheduling onboarding sessions, and compiling necessary documentation to ensure compliance with organizational standards. The ideal candidate will possess strong customer service skills, the ability to build and maintain relationships, and a high level of maturity to handle confidential information. The working hours are typically from 8:00 am to 5:00 pm, Monday through Friday, with occasional weekends and off-shifts as required by the job. The role is subject to frequent interruptions and changes in priority, making flexibility and effective time management essential for success.

Responsibilities

  • Follow up and monitor all pre-hire requirements once the recruitment team has made an employment offer, including background checks, drug screen management, and new hire paperwork.
  • Schedule onboarding colleagues with AultWorks and monitor attendance for appointments, notifying colleagues of failed screenings.
  • Assemble a complete onboarding file for all new hires, ensuring all regulatory and required items are completed.
  • Send new hire files to the Onboarding Specialist and assist with entering new employees into the Lawson system.
  • Compile and report MVR information and documentation while collaborating with the Compliance team.
  • Monitor and update finger log and regulations supporting this task.
  • Utilize the ATS to send communications and final acceptance letters to candidates who have cleared all pre-hire requirements.
  • Onbase all new hire and transfer files and paperwork into the system.
  • Assist with New Colleague Orientation on virtual and in-person days.
  • Cover shifts in the Colleague Resource Center and sourcing events as needed.
  • Run new hire sheets from Access daily.
  • Onboard new residents and complete pre-hire requirements that the TA team assists with.
  • Onboard integrating colleagues.

Requirements

  • Bachelor's Degree in Human Resources or a related field.
  • Prior Human Resource and systems experience preferred.
