About the position

The Technology Project Assistant at Thompson Thrift plays a crucial role in supporting and coordinating technology-driven projects from inception to completion. This position ensures that projects are executed efficiently and meet the company's quality and business standards while providing comprehensive administrative support to project managers and teams.

Responsibilities

  • Supporting and coordinating the full portfolio of technology-driven projects and initiatives.
  • Providing process, documentation, and coordination support to project managers and team members.
  • Acting as a communication liaison between project stakeholders, IT management, and IT team members.
  • Assisting in the development and maintenance of project management documents such as project plans, schedules, scope statements, and budgets.
  • Monitoring project schedules and task calendars.
  • Preparing and distributing project reports, presentations, and communications.
  • Scheduling and coordinating stakeholder meetings, including resources such as conference rooms and meals.
  • Preparing meeting presentations and managing meeting notes, recordings, and transcripts.
  • Distributing meeting artifacts to stakeholders and tracking important actions and decisions.
  • Ensuring projects adhere to department procedures and project frameworks, and that all documentation is properly maintained.
  • Maintaining project deliverable templates and undertaking additional project tasks as required.
  • Providing broad clerical, administrative, and secretarial support, including assisting in report preparation and maintaining filing systems.
  • Managing travel arrangements, event coordination, and other departmental administrative tasks as needed.

Requirements

  • Bachelor's degree in business, technology, or related field, or equivalent work experience.
  • Minimum 2 years in a coordinating or administrative support role, ideally with experience in technology or project management.
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Teams, and SharePoint).
  • Strong organizational, problem-solving, and time-management skills.
  • Exceptional verbal and written communication abilities, including strong presentation skills.
  • Knowledge of project management methodologies and tools.
  • Ability to manage multiple concurrent tasks, prioritize effectively, and work under pressure.
  • Strong attention to detail and ability to maintain data confidentiality.

Nice-to-haves

  • Certified Associate in Project Management (CAPM) or similar certification is desirable but not required.
