About the position

The Temporary Executive Administrative Assistant will provide high-level administrative support to the Vice President in a dynamic and inclusive work environment. This role requires exceptional organizational and multitasking skills, as well as the ability to handle confidential information with discretion. The position is temporary but may have the potential to become permanent for the right candidate.

Responsibilities

  • Provide high-level administrative support to the Vice President, including calendar management, travel coordination, and meeting preparation.
  • Act as a gatekeeper, managing and prioritizing the flow of information to and from the executive office.
  • Draft, review, and manage correspondence, reports, and presentations on behalf of the executives.
  • Create and design professional PowerPoint presentations for meetings, reports, and other executive communications.
  • Coordinate and organize meetings, events, and conference calls, including preparing agendas and taking minutes.
  • Handle confidential and sensitive information with the utmost discretion and professionalism.
  • Liaise with internal and external stakeholders, including clients, vendors, and team members, ensuring timely communication and follow-up.
  • Assist with special projects and initiatives as required by the Vice President and executive team.
  • Manage expense reports, budgets, and invoices related to executive activities.
  • Conduct research and provide insights to support executive decision-making.

Requirements

  • 3+ years of experience as an Executive Assistant supporting C-level executives.
  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Exceptional organizational and multitasking skills.
  • Strong written and verbal communication skills, with attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project management software.
  • Demonstrated ability to create visually engaging and impactful PowerPoint presentations.
  • Ability to work independently and as part of a team, demonstrating a high level of initiative.
  • Discretion and confidentiality in handling sensitive information.
  • Flexibility to adapt to changing priorities and business needs.
