About the position

IMMEDIATE TEMP Executive Assistant needed for a well-known manufacturing company specializing in heating, cooling, water heating, pool/spa heating, and commercial refrigeration products. This position is a contract position for at least 3 months, with an opportunity to become a permanent employee following, based on performance. The Executive Assistant will work with a multi-functional, global team by managing and optimizing calendars, supporting travel, and participating in team leadership meetings to drive effective follow-up to key actions and projects. This role will require the ability to manage multiple requests and priorities simultaneously, meet deadlines, and show flexibility to change direction when needed. You will apply your curiosity, business acumen, and strong judgement to effectively prioritize work and react with appropriate urgency to emerging situations. A high level of integrity and discretion in handling confidential information is crucial.

Responsibilities

  • Provide seamless support to the Executive Leaders, Vice President(s) and Senior Leadership Team to support organizational priorities.
  • Proactively manage leaders' calendars with attention to accuracy, detail, and allocation of time to promote productivity; recognizing the need to re-prioritize as appropriate.
  • Coordinate domestic and international travel in compliance with existing policies and procedures, ensuring effective use of time and resources.
  • Organize and manage meetings, off-sites and team-based events.
  • Anticipate challenges and plan accordingly ahead of need (outside of calendaring e.g. quarterly meetings, strategy sessions, etc.).
  • Understand business priorities and proactively look for ways to improve processes to create efficiency and scale for the leadership team, ranging from organizational communication mechanisms to tools to planning meetings.
  • Plan organizational calendar and facilitate the integration and prioritization of emerging priorities.
  • Track and help drive completion of key deliverables and follow up on outstanding items.
  • Review and copy-edit business documents, communications, and presentations with a high level of accuracy.
  • Support and, at times, manage small to medium projects based on organizational needs and professional development interests.
  • Build relationships and work collaboratively with Executive Assistants throughout the team and across the company.
  • Proactively look around corners and take the initiative to alert leaders on future actions required of them, potential scheduling conflicts and other forward-looking items.

Requirements

  • Minimum of 10+ years of experience providing Executive Assistant support for senior level executives in a fast-paced environment and matrixed environment.
  • Bachelor's Degree in relatable study.
  • High level of proficiency with Microsoft Office programs: Outlook, Word, Excel, OneNote, and PowerPoint.
  • Experience with domestic and international travel and event coordination.
  • Strong written, verbal, and interpersonal communication skills.
  • Detail oriented, with exceptional organizational skills.
  • Ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines.
  • Takes initiative without being asked and shows a sense of urgency.
  • High level of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company.
