About the position

The Administrative Assistant position is a temporary, part-time role focused on providing administrative support to the Senior Vice President and other management members within a Japanese company. The role involves managing office services, maintaining supplies, and coordinating various office activities and events, ensuring a smooth operational environment.

Responsibilities

  • Manage office services and general affairs.
  • Maintain office supplies and ensure appropriate inventory levels.
  • Order additional office supplies and handle postal mail.
  • Organize entrance, conference rooms, and pantry area.
  • Arrange refreshments and catering for VIP visitors and company events.
  • Process office-related invoice payments.
  • Respond to Division/HQ mail requests, including FedEx and package deliveries.
  • Provide support to management and expats for planning and coordinating office activities.

Requirements

  • 2-3 years of office administration-related experience.
  • Experience working in a multi-cultural office environment preferred.
  • Proficiency in speaking, writing, and reading Japanese.
  • Minimum of two years of experience with MS Office (Outlook, Word, Excel, PowerPoint).
  • Strong analytical, organizational, and reporting skills.
  • Excellent time management skills and attention to detail.
