About the position

The AIA Billing Specialist will be responsible for managing the billing processes within the Invoicing Department for new construction and renovation projects. This role requires a detail-oriented professional who can ensure compliance with AIA billing standards and contractual obligations while maximizing revenue recognition and minimizing accounts receivable issues. The position demands proficiency in various billing methodologies and the ability to work in a fast-paced environment with multiple clients.

Responsibilities

  • Effectively utilize workflow tools and ticketing systems to manage workload and track projects.
  • Prepare and submit invoices according to AIA standards, contract terms, and company policy for multiple clients on a monthly basis.
  • Interface with internal and external parties to gather information for accurate billing and resolve any issues.
  • Accurately identify contract fee types, deposits, change orders, payments, and pay application numbers prior to submitting invoices.
  • Partner with AP and AR teams to research and reconcile billing-related issues.
  • Adhere to strict deadlines and take ownership of all aspects of the billing process.
  • Monitor lien notices received and follow up on unconditional waivers.
  • Perform other duties and special projects as assigned.

Requirements

  • A minimum of 2-3 years' experience in billing medium-large-scaled construction projects in accordance with AIA billing standards.
  • Experience billing non-AIA projects with various contract types such as Lump Sum, Fixed Price, Cost-Plus, and Time & Material.
  • Understanding of OCIP and CCIP documentation and ability to interpret contract language for accurate billing.
  • Detail-oriented with the capability to review data for variances, trends, and errors.
  • Ability to follow instructions and procedural guidelines.
  • Solid organizational and time-management skills to handle competing priorities.
  • High level of customer service skills.
  • Excellent mathematical skills.
  • Reliable, coachable, and positive attitude in stressful situations.
  • Ability to thrive in a complex, fast-paced environment with continuous learning of software applications.
  • Strong interpersonal and communication skills, both written and verbal.
  • Strong analytical skills.
  • Flexibility to work extra hours as needed to meet billing deadlines.

Nice-to-haves

  • Associates degree in a relevant field.
  • Experience with Microsoft Dynamics AX or other ERP applications.
  • Familiarity with Service Now, Teamwork and Team Desk, and Smartsheet.
  • Proficiency in MS Excel.
  • Background in hospitality or access control & door hardware scheduling.
