About the position

The Temporary Administrative Assistant III position at UC Irvine involves providing high-level administrative support to various programs within the Chao Family Comprehensive Cancer Center. The role requires a proactive approach, strong communication skills, and the ability to manage multiple tasks effectively in a fast-paced environment. The assistant will coordinate educational and mentorship programs, manage scheduling and logistics for workshops, and maintain databases to track program outcomes.

Responsibilities

  • Support new and existing programmatic activities for the Chao Family Comprehensive Cancer Center.
  • Coordinate scheduling, advertising, registration, meeting logistics, and evaluation for research programs and workshops.
  • Assist with program development and management, including curriculum planning and speaker scheduling.
  • Organize seminars, workshops, and activities for Cancer Center members and community engagement.
  • Develop and maintain trainee databases to track outcomes and assess program impact.
  • Collect and report education metrics and contribute to new initiatives supporting equity, diversity, and inclusion.
  • Identify and collaborate with campus departments to enhance EDI training and awareness programs.
  • Track demographic data for program participants to measure EDI efforts.

Requirements

  • 3-5 years of Administrative Assistant experience.
  • Thorough knowledge in administrative procedures and processes including word processing, spreadsheet, and database applications.
  • Good verbal and written communication skills, active listening, critical thinking, multi-tasking, and time management skills.
  • Effective organization skills and interpersonal skills to provide guidance to other personnel.
  • Broad knowledge of office environment and administrative support needs.
