About the position

The Temporary Administrative Assistant position at TBG is designed for a highly organized individual who is bilingual in Spanish. This role involves supporting various administrative tasks for a client located in Chelsea, NY, and requires a commitment to working onsite five days a week. The assistant will be responsible for managing invoices, scheduling meetings, and maintaining office supplies, among other duties.

Responsibilities

  • Manage invoices, food orders, mass mailings, and create labels/badges for events.
  • Order and maintain inventory of office supplies and visibility materials.
  • Schedule and manage zoom meetings and presentations.
  • Assist with materials preparation for master and smaller contracts and manage logistics for negotiations, including lost time payments for committee members.
  • Organize office spaces and troubleshoot office equipment as needed.
  • Distribute settlement checks and prepare grievance-related communications.
  • Other duties as assigned.

Requirements

  • Spanish bilingual required.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and ability to learn internal data and workflow systems.
  • Strong customer service skills, great written and verbal communication skills.
  • Training, audit, and evaluation data collections and incident management skills.
