About the position

The TFI Events Manager is responsible for overseeing the planning, organization, and execution of various events for TFI, ensuring they are both profitable and provide valuable experiences for attendees. This role requires collaboration with hotel properties, members, and TFI staff to achieve organizational objectives and enhance the overall event experience.

Responsibilities

  • Responsible for the development, planning, organizing, management, administration, profitability, and effectiveness of TFI events.
  • Evaluate and assist in the design, implementation, and execution of potential new meetings.
  • Develop goals and action plans for event planning.
  • Execute the event planning logistics and program development tasks related to the association's events.
  • Negotiate and monitor service contracts with meeting/event vendors.
  • Work with all team members involved in the event to ensure their deliverables are timely.
  • In partnership with the Marketing Team, develop signage, conference mobile app, onsite branding, and other communications for each event.
  • Manage speaker and educational programming logistics, including booking housing and collecting PowerPoint presentations.
  • Coordinate all events onsite and schedule, supervise and support onsite staff.
  • Conduct evaluations and debriefs of all in-person events and compile recommendations to improve conferences.
  • Maintain historical records of TFI events including hotel room pickup and attendance numbers.
  • Work with the Senior Director of Member Programs to create budget goals for event-related expenses and provide timely reporting on budget targets to supervisor.
  • Conduct site visits for future events and coordinate site inspections when applicable.

  • Proven experience in event management and planning.
  • Strong organizational and project management skills.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively with diverse teams and stakeholders.
  • Experience in budget management and financial reporting.

  • Experience with large-scale conferences and events.
  • Familiarity with event management software and tools.
  • Knowledge of the hospitality industry and vendor management.
