About the position

The THCE Operations Support Coordinator provides essential administrative and clerical support to the MTS Clinical Engineering Department at Trinity Health. This role is crucial for ensuring the efficient operation of the department by managing service calls, maintaining file systems, and assisting with scheduling and reporting tasks. The coordinator contributes to the overall effectiveness of the Clinical Engineering program while embodying the mission and values of Trinity Health.

Responsibilities

  • Provides administrative and clerical support to MTS Clinical Engineering Department staff.
  • Handles incoming telephone calls and greets visitors, directing them appropriately.
  • Maintains both manual and computerized file systems for easy access to information.
  • Assists with scheduling service calls, preventative maintenance, and vendor meetings.
  • Processes customer requests for service support and dispatches technicians.
  • Performs typing and word processing of documents and reports.
  • Copies, distributes, and faxes documents related to medical equipment alerts and recalls.
  • Sorts and distributes incoming mail and prepares outgoing mail for shipment.
  • Orders and maintains office supplies and equipment levels.
  • Compiles data and prepares reports using CMMD formats.
  • Prepares monthly reports on staff productivity and department budget.
  • Assists with ongoing processes and special projects as assigned.
  • Processes service and parts requests from Clinical Engineering technicians.
  • Generates purchase order requests following corporate protocols.
  • Ensures completion of service-related documentation before closing transactions.
  • Provides additional clerical and administrative support as needed.

Requirements

  • Strong computer skills, particularly in data entry.
  • Demonstrated administrative and clerical support skills.
  • Strong organizational skills and ability to prioritize multiple tasks.
  • Good oral and written communication skills.
  • Ability to exercise good judgment and exhibit tact and diplomacy.
  • High School diploma or equivalent combination of education and experience.
  • 2-3 years of experience in administrative support, preferably in healthcare.
  • Excellent composition and communication skills.
  • Experience with Microsoft Office products (Word, Excel, PowerPoint).
  • Previous experience in a customer service environment is desirable.
  • Ability to make independent decisions and anticipate needs.

  • Previous data entry experience.
