About the position

The Executive Administrative Assistant (EA) at The Carter Center plays a crucial role in providing comprehensive administrative and logistical support to the Chief Executive Officer (CEO) in a dynamic and fast-paced environment. This position is essential for ensuring the smooth operation of the CEO's office, acting as the primary organizer and coordinator for various tasks and responsibilities. The EA will manage the CEO's calendar, review and handle correspondence, and coordinate travel arrangements, ensuring that all logistics for meetings and events are meticulously planned and executed. In addition to these core responsibilities, the EA will be involved in preparing and monitoring budgets and project proposals, conducting research, and compiling information for reports and presentations. This includes creating charts and graphs to visually represent data. The EA will also lead meetings focused on operational issues, developing actionable recommendations and plans to address these challenges. Furthermore, the role may involve supervising clerical and secretarial staff, initiating employee transaction paperwork, and addressing employee concerns. The Executive Administrative Assistant will also serve as a spokesperson for departmental inquiries, representing the CEO's office in various capacities. This multifaceted role requires a high level of professionalism, discretion, and the ability to manage multiple priorities effectively. The EA will be expected to maintain a cordial demeanor while exhibiting strong organizational and follow-up skills, ensuring that the CEO's office operates efficiently and effectively.

Responsibilities

  • Provide administrative support to the CEO, including managing the calendar and correspondence.
  • Coordinate and schedule travel arrangements and itineraries for the CEO.
  • Handle logistics for meetings, including preparation and follow-up tasks.
  • Prepare and monitor budgets and project proposals for various initiatives.
  • Research and compile information for reports and presentations, including creating charts and graphs.
  • Lead meetings addressing operational issues and develop recommendations for resolution.
  • Assist in the administration and interpretation of organizational policies and procedures.
  • Supervise and schedule clerical and secretarial staff as needed.
  • Act as a spokesperson for departmental inquiries and communications.

Requirements

  • Bachelor's degree in business administration, communications, or a related field.
  • Three years of office administration or senior secretarial experience, or equivalent combination of experience, education, and training.
  • Proficiency in various personal computer software applications, particularly MS Office products.
  • Ability to type or keyboard 60 accurate words per minute.

Nice-to-haves

  • Five years of office administration experience as an assistant to an executive level position.
  • Detail-oriented with strong writing and grammar skills.
  • Capable of working in a fast-paced environment with strong organizational and follow-up skills.
  • Possess good judgment skills.
  • Ability to work a daily schedule from 8:30am to 5:30pm with flexibility for evening work as needed.
