About the position

At The North Face, the role of an Executive Assistant is pivotal in providing comprehensive administrative and project support to the Apparel Leadership Team. This position is characterized by a variety of tasks that are both project-oriented and require a blend of creativity and ingenuity. The Executive Assistant will be responsible for scheduling appointments, meetings, and conferences, while also maintaining the calendars of the leadership team. This includes coordinating, planning, and participating in conferences as needed, ensuring that all logistics are handled efficiently. In addition to scheduling, the Executive Assistant will take notes and track follow-ups for client meetings and internal staff meetings. Daily administrative tasks will encompass preparing correspondence, distributing files, and managing the filing of memos and letters. The role also involves reading and routing incoming and outgoing mail, forwarding relevant information to other executives and departments, and following up on correspondence replies and action items. Building and maintaining strong working relationships throughout the organization is essential, as the Executive Assistant will need to exhibit outstanding customer service skills with both internal and external customers. The position requires acting as a liaison between management and staff members, customers, and vendors. The Executive Assistant will coordinate all business travel, both domestic and international, arranging travel schedules and reservations through the Corporate Travel program or other designated sources, and providing thorough follow-up on travel arrangements. Proficiency in using various software applications, including spreadsheets, word processing, graphics, forms, and chart software, is necessary for creating and editing presentation materials, reports, and other documents. Maintaining an organized filing system is crucial, ensuring that the corporate filing system is up to date with accurate copies of projects, correspondence, and related materials. The Executive Assistant will also prepare and coordinate expense report reimbursements, manage supply orders, and maintain records for invoicing. Additionally, planning and managing team events, acting as the point of contact for catering and outside vendors, and communicating effectively with the internal team about events are key responsibilities. Overall, this role is dynamic and requires a proactive approach to support the leadership team effectively.

Responsibilities

Requirements

  • 3 years of administrative support experience reporting to Senior Management.
  • Advanced typing and computer skills, including solid knowledge of word processing, spreadsheet, presentation, and desktop publishing.
  • Strong PC skills and knowledge of MS Word, Excel, and PowerPoint.
  • Excellent organizational, communication, and grammatical skills with strong attention to detail.
  • Excellent planning, scheduling, and problem-solving skills.
  • Ability to work professionally with flexibility in handling multiple priorities in a fast-paced environment.
