About the position

As a Title Clerk at ADESA, you will play a crucial role in ensuring the efficient processing of incoming vehicle titles, which is essential for the transferability of ownership to buyers. Reporting directly to the Office Manager, your primary responsibility will be to handle titles with accuracy and attention to detail, ensuring that all necessary documentation is in order. This position requires a commitment to providing excellent customer service, as you will be the first point of contact for dealer representatives with title-related inquiries or issues. You will be expected to maintain a professional demeanor and a friendly disposition, greeting customers warmly as they enter the auction site and assisting them throughout their experience. In addition to processing titles, you will be responsible for verifying the accuracy of vehicle information, including VIN numbers and odometer readings, and ensuring that all titles are free of alterations. You will also need to keep detailed records of outstanding title issues and work diligently to resolve them in a timely manner. Your role will involve pulling reports and maintaining an organized workspace, as well as processing payments from dealers and providing receipts. You will be expected to stay informed about DMV laws and regulations related to vehicle titles, which is critical for compliance and operational efficiency. Teamwork is a core value at ADESA, and you will be expected to collaborate effectively with your colleagues, setting a positive example through your attitude and performance. In the event of any incidents involving employees or customers, you will need to follow proper procedures and report these occurrences to the Office Manager. This position may also involve other duties as assigned, contributing to the overall success of the team and the organization.

Responsibilities

  • Ensure customers receive prompt, efficient, and courteous attention.
  • Handle incoming calls from dealer representatives regarding title issues and questions.
  • Maintain a professional appearance and orderly work environment.
  • Provide prompt and courteous service, greeting every customer as they enter.
  • Resolve customer complaints in a friendly manner and advise the Office Manager of serious complaints.
  • Verify the accuracy of VIN numbers, odometer readings, and title documentation.
  • Ensure titles are delivered to purchasing dealers and filed appropriately.
  • Pull reports, customer worksheets, and vehicle inventory at the end of auction days.
  • Keep updated notes on outstanding problem titles to ensure timely resolution.
  • Process payments for dealers and provide receipts.
  • Maintain knowledge of DMV laws and regulations related to vehicle titles.
  • Practice and promote teamwork at all times.
  • Respond to and follow procedures on employee and customer accidents, injuries, and property loss.

Requirements

  • Must be at least eighteen (18) years of age.
  • Must possess a valid driver's license and be qualified to operate a motor vehicle.
  • Demonstrated ability to read, write, and communicate effectively in English.
  • Ability to physically operate vehicle equipment and tools.
