About the position

The Traffic Shipping Coordinator is responsible for providing administrative and clerical support to traffic operations, focusing on the routing, shipping, logging, and tracking of inbound and outbound orders. This role requires effective communication with transporters, preparation of shipping documentation, and ensuring accurate pricing and costing in the ERP system. The position demands a detail-oriented individual who can manage multiple priorities and work collaboratively with various departments.

Responsibilities

  • Provide administrative and clerical support to traffic operations functions.
  • Route, ship, log, and track inbound and outbound orders.
  • Contact transporters for freight pick-up and ensure appropriate cargo routing.
  • Communicate changes to routing and timelines effectively.
  • Prepare and process bills of lading (BOL) and other shipping documentation.
  • Cross-check purchase orders against vendor invoices for accuracy.
  • Gather all landing cost components applicable to each shipment prior to receipt.
  • Ensure correct costing is applied across all orders in the ERP system.
  • Prepare receiving packages as per established criteria and present them to accounting within a day of receipt.
  • Work closely with Purchasing, Customer Service, Warehouse, and Accounting Departments to troubleshoot issues.
  • Perform general office duties as assigned by the Department Manager.
  • Close customs entries by established procedures and print history reports from the GTK system.
  • Gather 7512 documents from Customer Service and prepare entry packages for upload to CBP.
  • File documents numerically and archive them in the Docuware filing system.

Requirements

  • High school diploma or equivalent required.
  • Minimum of 2-5 years of related experience or a combination of experience and education in a related field.
  • Accounting experience is a plus.
  • Bilingual in English and Spanish is required.
  • Fundamental understanding of freight forwarding, including ocean and truck shipments.
  • Knowledge of ISF filings and customs documentation procedures.
  • Proficient in MS Excel, MS Word, and MS Outlook.

Nice-to-haves

  • Experience with JDE System is a plus.
  • Ability to perform light physical activities such as lifting boxes or documents.
