About the position

The Payroll Documentation Specialist is responsible for creating and maintaining internal payroll process documentation and training materials for the Village. This role involves developing training content, ensuring the quality of documentation, and coordinating training sessions to meet departmental needs. The specialist will also assist with department meetings, maintain meeting minutes, and publish a Payroll newsletter, while providing thought-provoking messages to the team.

Responsibilities

  • Assist with maintaining and developing timekeeping and payroll application training material and user guides.
  • Analyze and ensure quality of documentation.
  • Develop and coordinate training to meet departmental needs related to Payroll.
  • Understand and stay current with department and Village processes and procedures.
  • Assist with department meetings and maintain meeting minutes.
  • Responsible for content and publishing Payroll newsletter.
  • Provide thought-provoking and inspirational weekly messages or systems tips to the department.
  • Perform other duties as assigned.

Requirements

  • High School Diploma or equivalent required.
  • Minimum of two (2) years' experience reviewing and editing documents.
  • Advanced computer skills and proficiency in MS Word, Excel, and PowerPoint; basic proficiency in MS Access; basic proficiency in Workday and Kronos UKG Pro Management.
  • Strong written, verbal, and interpersonal communications skills.
  • Demonstrated strengths in organizational, attention-to-detail, and follow-through skills.

Nice-to-haves

  • Minimum of one (1) years' experience with Kronos UKG Pro Management and Workday.
  • Experience with comparable timekeeping and payroll systems may be considered.
  • Experience with process flow design and improvements.
  • Fundamental Payroll Certification (FPC)
