About the position

The Training and Event Coordinator is responsible for organizing and managing training sessions, workshops, and events for the Smart Factory Institute. This role ensures a seamless experience for participants by coordinating logistics, managing schedules, and maintaining communication with clients and instructors. The coordinator will also handle event planning for signature events and corporate meetings, ensuring all aspects are executed efficiently and within budget.

Responsibilities

  • Develop and execute a comprehensive training and event calendar that aligns with company objectives and client needs.
  • Collaborate with marketing teams to promote training programs and events through various channels.
  • Schedule and coordinate space and instructors for in-person and remote training.
  • Set up training areas, including technology setup, training aids, beverages, and meals, while maintaining budgetary guidelines.
  • Maintain an instructor roster with certified instructors for each training course.
  • Manage participant registration processes, including communication, confirmations, and follow-ups.
  • Communicate administrative details to participants and client team leaders, such as training times, locations, and special requirements.
  • Advise clients on navigating the Peak Workforce Training Center for accessing training courses and resources.
  • Maintain accurate records of training materials, participant lists, and financial transactions.
  • Communicate scores, reports, and evaluation results to client team leaders post-training.
  • Plan, coordinate, and implement signature events, conferences, and corporate meetings.
  • Determine event programming and book speakers, food and beverage, and transportation.
  • Negotiate terms and conditions with event venues and vendors, managing budgets effectively.
  • Create event flyers, programs, and nametags, and coordinate speaker presentations in PowerPoint.
  • Maintain inventory of promotional items and speaker gifts.

Requirements

  • Minimum of 2-3 years' experience in Training Coordination, Event Management, Business Administration, Hospitality, or a related field, preferably within a corporate environment.
  • Organized, detail-oriented, and able to multitask effectively.
  • Strong project management skills with the ability to prioritize tasks and meet deadlines.
  • Excellent written and verbal communication skills with a focus on professionalism and customer service.
  • Proficient in Microsoft Office Suite (PowerPoint, Word, Excel), Adobe Suite, and comfortable with various digital communication and collaboration tools.
  • Creative thinking and problem-solving abilities.
  • Ability to work independently and collaboratively in a fast-paced environment.

  • Photography and videography experience.
  • CRM (Customer Relationship Management) experience; WIX proficiency.
