The Transcript & Records Specialist plays a crucial role in the Registrar's Office at DCC, responsible for issuing official academic and workforce transcripts. This position involves monitoring requests through the National Student Clearinghouse and resolving any issues that may arise with suspended requests. The specialist will also engage in research and reconstruction of microfilm transcripts dating back to 1924, ensuring that historical records are accurately maintained. A key responsibility includes calculating semester and cumulative grade point averages, as well as addressing and resolving student transcript issues. The role requires fulfilling mailed-in transcript requests and maintaining a comprehensive log of all incoming and outgoing correspondence related to transcript requests. In addition to transcript management, the specialist will regularly correspond with students, military personnel, government agents, and officials from other universities regarding the status of official transcripts. The position also involves preparing and reviewing transcript reports, ensuring that all documentation is accurate and up-to-date. The Transcript & Records Specialist will supervise one student worker, providing guidance and support in their tasks. The role requires a thorough understanding of program requirements, class prerequisites, and test score requirements, allowing the specialist to advise students effectively. The specialist will assist with the overall student registration process, troubleshooting issues related to registration, course drops/adds, reinstatement requests, and student withdrawals. They will also counsel potential graduates on program requirements for graduation, evaluate transcripts and degree audits, and determine graduation eligibility for students. The specialist will serve as the primary contact for student degree requirements and graduation status for assigned student groups. Furthermore, the specialist will consult with academic advisors and deans to resolve any graduation-related issues and will process incoming subpoenas while adhering to FERPA guidelines. Daily registration reports will be completed as part of the role, along with other related duties as assigned by the supervisor or College Registrar.
