About the position

The position involves performing clerical duties and assisting with the scheduling and arrangement of appointments for long-term care residents. The role requires coordination of medical and treatment appointments, transportation arrangements, and providing direct support to residents during their appointments. Additionally, the position includes maintaining medical records, filing documentation, and performing receptionist duties within nursing home units.

Responsibilities

  • Arrange and schedule resident medical/treatment appointments, court appointments and other necessary arrangements.
  • Coordinate transportation for long-term care residents.
  • Accompany residents as needed to medical appointments, court hearings or other appointments for safety, supervision or assistance.
  • Provide direct transportation through use of County vehicle for residents as needed.
  • Follow safe driving and resident transportation procedures while driving or accompanying residents.
  • Prepare necessary documentation for treatment from outside providers.
  • Maintain lists for facility consultant services such as dental, audiology, ophthalmology, etc. and assist with resident transportation to on-site consultations, providing additional supervision as needed.
  • File consultations, court documentation and other forms within medical records and assist to document consultation results as needed within scope of practice.
  • Assist to create forms or form packets for documentation.
  • Perform receptionist and clerical duties in nursing home units.
  • Transcribe physician orders into the electronic medical record and copy information such as vital signs into the medical record as requested.
  • Accept phone calls, return calls, respond to requests or refer inquiries to nursing/physician staff as needed.
  • Assist with admissions and discharges by coordinating with facilities, personnel, forms and transportation.
  • Run reports or collect data as assigned.
  • Maintain a safe and clean work environment.
  • Comply with organization policies and procedures.
  • Contribute to team effort by establishing and maintaining continuity among work teams.
  • Provide orientation and mentorship for new nursing assistant employees.
  • Create, organize and update medical records of residents.
  • Provide resident care to meet the physical needs of the resident; also provide care relative to the emotional and psychosocial needs of residents.
  • Participate in the development of the care plans and implementation of care plans.
  • In conjunction with the therapy department and nursing department, provide activities on the households as assigned.
  • Take residents on community outings for recreational or educational purposes.
  • Observe residents and report any change in resident behavior/condition.
  • Maintain the confidential nature of all resident and business information.
  • Attend staff meetings, attend in-service and outside agency training sessions if appropriate.
  • Assist to manage supplies and supply inventory.
  • Assist with scheduling and coverage as requested by Director of Nursing.

Requirements

  • Clerical or secretary experience preferred
  • High school diploma
  • Certification as a Nursing Assistant from an approved training program, and current, valid registration with the Wisconsin CNA Registry.
  • Valid State and Federal registration with the Wisconsin CNA Registry.
  • Valid Wisconsin Driver's License.
