About the position

The Trauma Program Administrative Assistant plays a crucial role in supporting the trauma program and clinical trauma service line at Integris Health. This position involves a variety of administrative duties, including managing records, scheduling meetings, and assisting departmental staff to ensure efficient operations within the trauma center.

Responsibilities

  • Perform various complex technical and clerical functions in support of departmental staff.
  • Prepare and maintain a variety of records, files, and documents, including confidential information.
  • Take minutes at meetings while maintaining confidentiality and develop summaries if requested.
  • Assist with documenting and developing the department budget and operational plans.
  • Recommend changes to office procedures to improve processes and provide better support.
  • Review and proof documents, records, and forms for accuracy and completeness.
  • Arrange and schedule a variety of meetings and conferences.
  • Greet visitors, determine their needs, and route customers to the proper area or person.
  • Arrange appointments and assist with phone calls.
  • Direct services such as maintenance, repair, supplies, mail, and files.
  • Assist in training employees on office equipment and procedures.
  • Maintain confidentiality of information and abide by HIPAA regulations.
  • Perform other duties as assigned and assist other staff as necessary.

Requirements

  • High School Diploma or equivalent required.
  • 1-2 years of technical or clerical experience.
  • Basic knowledge of Microsoft applications including Excel, Word, PowerPoint, Teams, and Outlook.
  • Basic knowledge of principles of accounting with basic arithmetic skills of multiplication, division, and percentages.
  • Good oral and written communication skills.
  • Good interpersonal skills.
  • Ability to handle confidential information appropriately.

Nice-to-haves

  • Associate or bachelor's degree preferred.
