About the position

Tanager, Inc. is seeking a Travel Assistant/Project Coordinator to join our team. This is a remote temporary position that offers the potential for conversion to a direct hire arrangement with company benefits. The ideal candidate will be responsible for planning and booking travel arrangements, which includes flights, accommodations, car rentals, and other transportation needs. The role requires a high level of organization and attention to detail to ensure that all travel logistics are coordinated effectively. This includes managing itineraries, travel documents, and schedules to ensure a seamless travel experience for our clients. In addition to booking travel, the Travel Assistant/Project Coordinator will handle any travel-related issues that may arise, such as cancellations or delays. Maintaining accurate travel records is crucial, as the candidate will be responsible for keeping track of travel expenses, bookings, and itineraries. Effective communication is key in this role, as the candidate will liaise with employees, travel agencies, and vendors to ensure that all travel needs are met in accordance with company policies and budget constraints. The position also involves assisting with the reconciliation of employee travel expense reports and performing other duties as assigned. The successful candidate will demonstrate the ability to manage multiple travel arrangements simultaneously while providing a high level of service to ensure client satisfaction. This role is ideal for someone who thrives in a fast-paced environment and is adept at negotiating with vendors for better rates and services.

Responsibilities

  • Plan and book travel arrangements including flights, accommodations, car rentals, and other transportation.
  • Coordinate travel logistics ensuring all travel details are organized, including itineraries, travel documents, and schedules.
  • Handle travel-related issues such as cancellations or delays.
  • Maintain accurate records of travel expenses, bookings, and itineraries.
  • Communicate with clients and vendors to ensure all travel needs are met.
  • Ensure compliance with company travel policies and budget constraints.
  • Assist with the reconciliation of employee travel expense reports.
  • Perform other duties as assigned.

Requirements

  • Ability to manage multiple travel arrangements and details simultaneously.
  • Good attention to detail to ensure the accuracy of bookings, itineraries, and travel documents.
  • Excellent verbal and written communication skills to interact effectively with clients and vendors.
  • Ability to handle unexpected travel issues and find quick solutions.
  • Familiarity with travel booking systems like Melon.
  • Providing a high level of service to ensure client satisfaction.
  • Efficiently managing time to meet deadlines and handle last-minute changes.
  • Managing travel expenses and ensuring cost-effective travel solutions.
  • Handling various tasks and priorities in a fast-paced environment.
  • Negotiating with vendors for better rates and services.
  • College degree in Hospitality, Travel, Tourism, or a related field desired.
  • 2-3 years of experience in travel coordination or a similar role.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
