About the position

The position involves performing clerical tasks related to payroll and travel documentation within the department, ensuring smooth operations and compliance with established procedures. The incumbent will be responsible for filing, data entry, and responding to employee inquiries, while maintaining a customer-oriented approach. The role requires proficiency in office machinery and software, as well as the ability to work independently under supervision.

Responsibilities

  • Classify and index file material relating to timekeeping, payroll, work orders, and employee benefits.
  • Perform basic payroll and travel clerical tasks necessary for department operations.
  • Coordinate with Madison CORP and PMO for travel and payroll requirements involving T-45 personnel.
  • File records, reports, correspondence, and travel documentation.
  • Research and respond to employee inquiries concerning hours worked and benefit time.
  • Provide weekly status reports on overtime hours and payroll problems.
  • Prepare employee change of status reports and travel expense estimates.
  • Conduct audits and reconciliations of travel expense reports.
  • Assist the Business Manager with Base Cash Fund and billable hour tracking process.
  • Operate computer remote terminal and initiate data entry for payroll and travel expenses.
  • Conduct employee timecard audits as directed by the Business Manager.
  • Answer telephones and deliver messages.
  • Prepare special reports and forms as required.

Requirements

  • Satisfactory completion of computer data entry courses or one year of on-the-job training/experience.
  • One year of experience in data entry.
  • Minimum of one year experience in a clerical/administrative career field.
  • Proficient in computerized spreadsheet applications and word processing.
  • Analytical ability to handle non-complex administrative details.
  • Knowledge of grammar, punctuation, and spelling rules.
  • Ability to operate various office machines used in designated departments.
  • Ability to deal courteously and effectively with a diverse group of customers and visitors.
