About the position

The Travel Specialist serves as the primary contact for participant travelers within the ORISE STEM Workforce Development programs. This role is responsible for supporting and responding to travel inquiries, ensuring compliance with company policies, and providing excellent service to both internal and external customers. The position involves guiding travelers through the travel process, coordinating travel arrangements, and maintaining records, all while supporting the mission of ORISE.

Responsibilities

  • Guide ORISE travelers through the travel process in Concur for domestic and foreign travel requests, expense reports, and household moves.
  • Ensure compliance with company policy and sponsor requirements for each trip.
  • Obtain sponsor approvals and interact with travelers to plan trips and prepare cost estimates.
  • Coordinate with program staff to support group travel requests.
  • Work with travel agency on ticketing and reservations.
  • Support mid-trip changes for travelers and collect receipts and documentation.
  • Maintain electronic record files and databases.
  • Provide guidance, assistance, and training to participants regarding travel systems and processes.
  • Assist in the development and delivery of job aids and participate in virtual training for travelers, sponsors, and program staff.
  • Attend and participate in STEM Workforce Development Program events.

Requirements

  • High school diploma and 2-4 years of job-related experience; Bachelor's degree preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational, grammatical, and proofreading skills.
  • Ability to deal effectively and tactfully with a variety of people at various academic levels.
  • Demonstrated problem-solving skills.
  • Self-directed with the ability to process and prioritize multiple tasks under pressure.
  • Knowledge of the travel management system, Concur, and ORAU travel policy.
  • Knowledge about STEM Workforce programs and sponsor approvals.
