The Senior Customer Service Specialist position at La Plata County's Treasurer's Office and Clerk & Recorder is a full-time role that encompasses a variety of cashiering, clerical, and accounting functions. This position is crucial in ensuring that financial transactions and records are accurately maintained, reviewed, and processed for both departments. The specialist acts as the primary point of contact for customers, providing assistance and answering inquiries related to property tax payments, vehicle registrations, and other services offered by the county. The role requires a detail-oriented team player with excellent customer service and communication skills, as the incumbent will interact with the public in person, over the phone, and via email. In the Treasurer's Office, the Senior Customer Service Specialist will assist the public by collecting payments, issuing receipts, and providing accurate financial information. Responsibilities include processing various forms of payment, maintaining accurate records, and ensuring compliance with state-mandated reporting and processing deadlines. The specialist will also be responsible for balancing cashiering tills, preparing daily deposits, and generating reports from the county's Tyler system. Additionally, the role involves performing clerical tasks such as scanning, copying, and mailing materials, as well as processing legal documents and ensuring all statutory requirements are met. In the Clerk and Recorder's Office, the specialist will perform administrative functions related to vehicle titles, registrations, and elections. This includes reviewing and processing documents for compliance with state laws, conducting VIN inspections, and assisting the public with vehicle registrations. The specialist will also be responsible for maintaining and monitoring accounts, processing payments, and assisting with election preparations under the supervision of the County Clerk and Elections Administrator. Regular attendance and the ability to perform other related duties as required are essential for this position.

Responsibilities

  • Assist the public in person, on the phone, via e-mail, and mail.
  • Collect monies and issue receipts for property tax payments, fines, and fees.
  • Provide accurate and time-sensitive financial information by phone to the public.
  • Process physical and electronic receipts, ensuring relevant data and accounts are correct and complete.
  • Open, close, and balance cashiering tills; prepare and process daily electronic check and cash deposits.
  • Generate reports from the county Tyler system as part of the daily closing process.
  • Enter and verify data in the computer system (Tyler) to maintain accurate information for tax roll records.
  • Perform various support duties including scanning, copying, printing, shredding, and mailing materials.
  • Process releases of deeds of trust in person, through the mail, and through online applications.
  • Research and sign legal documents, ensuring compliance with state-mandated reporting and processing deadlines.
  • Perform clerical and administrative functions related to the operation of the county clerk's office.
  • Assist the public with vehicle titles and registrations, recording, and elections via phone, email, and in person.
  • Review and process documents for Colorado auto title applications for compliance with laws and regulations.
  • Complete VIN inspections and new registrations for all vehicle classes as required by statute.
  • Examine documents for proper content, collect fees, and record, index, and proofread documents on a computer.
  • Preserve and maintain historic county archived documents and issue marriage and civil union licenses.
  • Register new voters and update registration rolls; assist with elections under supervision.

Requirements

  • High School diploma or GED.
  • One year of related experience in a cashiering, accounting, or general business/finance environment.
  • Basic knowledge of cashiering, bookkeeping, and accounting practices.
  • Familiarity with general office procedures, policies, and practices.
  • Basic knowledge of computers and general office equipment.
  • Proficiency in basic spreadsheet (Excel) and word processing (Word) tools.

Nice-to-haves

  • Experience with the Tyler system or similar financial software.
  • Knowledge of Colorado motor vehicle laws and regulations.
  • Previous experience in a government or public service role.
