About the position

The Trusts & Estates Legal Administrative Assistant at Jackson Walker provides essential administrative support to attorneys in the Trust & Estates Practice Group. This role focuses on assisting with estate planning, administration of estates and trusts, and ensuring effective communication with clients while managing various administrative tasks.

Responsibilities

  • Providing timely and courteous communication to clients and attorney(s) when answering phone calls and relaying messages
  • Assisting with accurate timesheet entry, review and revision; participate in timely billing review and submission
  • Calendar management - coordinating and scheduling travel, meetings, and appointments for attorneys
  • Manage hard copy documents and profile electronic documents/e-mails
  • Distribution of correspondence and legal documents
  • Perform other work-related duties as assigned

Requirements

  • Must be highly organized and able to manage multiple concurrent projects
  • Comfortable communicating with clients in a professional manner
  • Excellent knowledge of Microsoft 365, especially Word and Outlook
  • Working knowledge of legal documents, formatting, table of contents, styles, track changes, pdf documents - inserting and labeling, converting pdf documents to Word
  • Experience working with a document management system (iManage experience a plus)
  • Good grammatical and writing skills
  • Ability to multi-task and work closely with attorneys in a fast-paced busy role
  • Demonstrate the ability to think critically and show initiative
  • Ability to handle confidential documents and information appropriately
  • High school diploma or GED required
  • Bachelor's degree from an accredited college or university preferred
  • Minimum of 3 years' experience
  • Prior law firm experience preferred
