About the position

The Tuned-In Coordinator, Operations Specialist at Johns Hopkins University is a pivotal role within the Peabody Preparatory, aimed at supporting the Tuned-In program, which provides free music education to socioeconomically disadvantaged students. This position is designed for a detail-oriented individual who will work closely with students, families, faculty, and staff to ensure the smooth operation of the program. The Coordinator will be responsible for a variety of administrative and operational tasks, including managing logistics for rehearsals, concerts, and special events, as well as overseeing the recruitment and training of parent volunteers. The role requires a commitment to customer service and responsiveness, as the Coordinator will frequently interact with Tuned-In students and their families, maintaining professionalism in all communications. In addition to operational duties, the Coordinator will also handle administrative responsibilities such as maintaining attendance records, managing inventory for instruments and supplies, and overseeing contracts with vendors and independent contractors. The position involves significant logistical oversight, including scheduling auditions, organizing travel for students, and ensuring that all necessary materials are collected and submitted in a timely manner. The Coordinator will also serve as a primary point of contact for various JHU offices, facilitating communication and collaboration across departments to support the Tuned-In program's goals. The Tuned-In program is dedicated to providing access to advanced musical training and performance opportunities for talented students from Baltimore City and surrounding areas. The Coordinator will play a crucial role in fostering an inclusive and supportive environment for these students, ensuring they have the resources and opportunities needed to succeed in their musical education and beyond. This position is integral to the mission of the Peabody Preparatory and requires a passion for arts education and youth development, particularly for students from underrepresented backgrounds.

Responsibilities

  • Provide operational support to Tuned-In faculty, parents, and students including on-site Saturday support.
  • Maintain attendance records and data tracking for the Tuned-In program.
  • Maintain Instrument/Supply Inventory and oversee instrumental purchases, replacements, and repairs.
  • Recruit, train, and manage parent volunteers & tour chaperones ensuring all volunteers complete required JHU training and follow JHU policies and procedures for volunteering and working with minors.
  • Manage orientations and parent meetings.
  • Serve as the production coordinator for all Tuned-In special events, concerts, and recitals, including communicating and coordinating all technical requirements for event setup and production.
  • Chaperone students to auditions, summer camps, and college visitations as needed.
  • Maintain calendar of all auditions and schedule recording sessions.
  • Ensure all required audition materials are collected and submitted promptly.
  • Organize travel to live auditions as needed.
  • Oversee all Tuned-In contracts related to rehearsal, concert, and special events.
  • Manage all purchases related to Tuned-In including maintaining credit cards for Tuned-In.
  • Work with marketing to ensure the website remains up to date and manage social media accounts.
  • Maintain records for granting purposes including student data, accolades, financial reporting, testimonials, photo/video.
  • Coordinate student registration utilizing ASAP, the Preparatory's online registration system.
  • Book all aspects of travel for Tuned-In Students and Staff including auditions, summer festivals, workshops, and conferences.

Requirements

  • Bachelor's Degree.
  • Two years related experience.
  • Knowledge and experience with arts education (particularly music) and youth development.
  • Experience working with students and families from underrepresented backgrounds.
  • Training and professional development in trauma informed practices.
  • Superior written and oral communication skills.
  • Skilled in Office365.
  • Ability to work independently and within a team environment.
  • Superior organizational, operational, financial, and project management skills.
  • Excellent attention to detail and strong organizational skills.

Nice-to-haves

  • Experience in K-12 or community arts sectors.
  • Experience in social justice sector.
  • Familiarity with community music school online registration systems, learning management systems, and Slate.
