About the position

The Tuned-In Coordinator, Operations Specialist at Johns Hopkins University's Peabody Preparatory is responsible for providing operational and administrative support to the Tuned-In program, which offers music education to socioeconomically disadvantaged students. This role involves coordinating logistics for rehearsals, concerts, and special events, maintaining communication with families, and ensuring the smooth operation of the program. The position requires a detail-oriented individual who can multitask and prioritize effectively in a dynamic environment.

Responsibilities

  • Provide operational support to Tuned-In faculty, parents, and students, including on-site Saturday support.
  • Maintain attendance records and data tracking for the Tuned-In program.
  • Maintain Instrument/Supply Inventory and oversee instrumental purchases, replacements, and repairs.
  • Recruit, train, and manage parent volunteers & tour chaperones, ensuring compliance with JHU policies.
  • Manage orientations and parent meetings.
  • Serve as the production coordinator for all Tuned-In special events, concerts, and recitals, coordinating technical requirements and communications.
  • Chaperone students to auditions, summer camps, and college visitations as needed.
  • Maintain calendar of all auditions and schedule recording sessions.
  • Ensure all required audition materials are collected and submitted promptly.
  • Organize travel to live auditions as needed.
  • Oversee all Tuned-In contracts related to rehearsals, concerts, and special events.
  • Manage all purchases related to Tuned-In, including maintaining credit cards for Tuned-In.
  • Work with marketing to ensure the website and social media accounts are up to date.
  • Maintain records for granting purposes, including student data and financial reporting.
  • Support donor-related activities, including on-site visits and stewardship.
  • Coordinate student registration utilizing the Preparatory's online registration system.
  • Book all aspects of travel for Tuned-In Students and Staff, including auditions and festivals.
  • Facilitate payments for vendors and guest artists.

Requirements

  • Bachelor's Degree.
  • Two years related experience in arts education or youth development.

Nice-to-haves

  • Experience in K-12 or community arts sectors.
  • Experience in social justice sector.
  • Familiarity with community music school online registration systems.
