About the position

We are seeking a highly organized and detail-oriented Turnaround Administrative Assistant to provide essential administrative and office professional support during the planning and execution of activities leading up to and to the end of the 2025 Oyster Creek plant Turnaround. This role requires strong organizational, planning, and communication skills, the ability to manage multiple tasks simultaneously, and a focus on ensuring efficient site operations to achieve Turnaround (TA) objectives. The successful candidate will collaborate closely with key personnel, including the TA Manager, TA Coordinator, TA Operations Coordinator, and Site Admin Assistant, to ensure a clear understanding of developed TA administrative assistant plans. In this position, you will perform general administrative tasks such as mail handling, records and file maintenance, travel coordination, and procurement of office supplies. You will also coordinate with the site administrative assistant to ensure that Canadian and Kuwait MEGlobal/Equate staff are onboarded with an appropriate working space. Additionally, you will assist the TA Manager and Site Admin in ordering and distributing TA merchandise and support them in planning and executing events, including offsite day zero training and recognition events. Moreover, you will work closely with the Site Admin to ensure that all TA meals are ordered and delivered on time during the turnaround. Participation in and leading the United Way Campaign teams' events during the TA will also be part of your responsibilities. Lastly, you will collaborate with the ODMS Coordinator to plan, implement, and maintain hard copy and electronic Document Management Systems (DMS).

Responsibilities

  • Assist TA Manager/Site Admin in ordering and distributing TA merchandise.

  • Participate in and lead the United Way Campaign teams events during the TA.

Requirements

  • Proven 2-3 year experience in an administrative role, preferably in an industry or manufacturing environment.
  • Excellent organizational and time-management skills.
  • Proficiency in SharePoint and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication skills.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Detail-oriented with the ability to manage multiple tasks simultaneously.
  • Familiarity with ODMS, turnaround processes and terminology is a plus.
  • Flexibility to work extended hours and weekends if required during the turnaround planning and execution period.
