About the position

The Operations Coordinator at National Louis University (NLU) plays a vital role in supporting the administrative and academic operations within the Undergraduate College (UGC). This position is based at NLU's Wheeling campus and involves close collaboration with the Academic Operations team and the Student Success Coaching team. The Operations Coordinator is responsible for ensuring the smooth and consistent operations of the college, which includes a variety of administrative and operational tasks such as course scheduling, staffing, student registration processes, and event coordination. The role requires a proactive approach to managing workflows and facilitating communication among various stakeholders, including students, faculty, and administrative staff. In this position, the Operations Coordinator will monitor course enrollments and facilitate necessary changes to the course schedule, including course additions, cancellations, and updates. They will also assist academic leadership with staffing assignments and support the UGC Student Success Coaching team in student communications and initiatives. This includes running outreach campaigns and managing student inquiries through email. The Operations Coordinator will act as a liaison for the Dual Credit and Middle College programs, coordinating with district partners and the university's scheduling and registrar's office for course creation and student registrations. Additionally, the Operations Coordinator will be involved in planning and coordinating events for the Coaching team's special initiatives, such as the Student Success Summit and various registration events. They will also provide office management support, ensuring that the Wheeling campus operates efficiently by managing scheduling, room reservations, and supply inventory. The position requires flexibility, as there may be occasional evening or weekend hours to support special college initiatives. Overall, the Operations Coordinator is essential in fostering a collaborative and supportive environment that enhances student success and operational efficiency within the Undergraduate College.

Responsibilities

  • Support course scheduling for the Undergraduate College by monitoring enrollments and facilitating workflow processes for schedule changes.
  • Monitor course staffing and assist academic leadership with staffing assignments and communication.
  • Support UGC Student Success Coaching team in student communications and student success initiatives, including running mass outreach campaigns and reporting.
  • Manage Coaching email, providing timely and consistent responses to student questions, escalating as needed.
  • Act as liaison between NLU's district partners and NLU's University Scheduling Center and Registrar's office for course creation, student registrations, and grade reporting.
  • Assist with new student processes, including new student class scheduling and serving as a liaison between coaches and enrollment.
  • Coordinate event planning for the Coaching team's special student initiatives.
  • Provide office management and on-ground support for Wheeling campus, including scheduling, room reservations, and supply inventory management.
  • Coordinate UGC calendar, including scheduling and coordination of major events across the Undergraduate College.

Requirements

  • High School Diploma or GED required; Bachelor's Degree preferred.
  • Two or more years of excellent customer service experience, comfortable interacting with students, faculty, administrators, and partners.
  • One or more years of experience in a highly organized, collaborative, and responsive role, with the ability to problem-solve in a fast-paced environment.
  • Three or more years of demonstrated skills in MS Office (including PowerPoint, Excel, and Word), project management required.
