About the position

The Unit Administrative Assistant (UAA) at Houston Methodist Sugar Land Hospital plays a crucial role in supporting the interprofessional team to deliver high-quality, cost-effective patient care. This position involves managing multiple priorities, providing personalized service to patients, and ensuring effective communication within the healthcare team. The UAA is responsible for various administrative tasks, including responding to patient needs, coordinating transfers, and maintaining an organized work environment while adhering to the hospital's ICARE values: Integrity, Compassion, Accountability, Respect, and Excellence.

Responsibilities

  • Provides prompt and personalized service to all patients.
  • Responds to the nurse call system and contacts nursing personnel as appropriate.
  • Answers incoming telephone calls for the unit and transfers as appropriate.
  • Facilitates and supports effective throughput with timely communication.
  • Greets patients and visitors to the unit, assisting with directions, information, and guidance.
  • Communicates in a positive and effective manner to all healthcare team members and reports pertinent patient care and family data.
  • Escalates issues to staff and leadership as needed.
  • Organizes the unit workflow and paperwork as needed, proactively problem-solving and managing multiple ongoing priorities.
  • Pulls/prints daily reports per unit standard, including daily shift reports and charge nurse reports.
  • Coordinates requests to Facilities Management/Maintenance and Biomed regarding department needs or broken equipment.
  • Rounds through the unit to check for environmental or equipment needs and other assistance that may be needed.
  • Serves as an in-house courier for retrieving blood, delivering labs, etc.
  • Assists with calls to physicians and their offices, bed management, and transfer services.
  • Follows up on calls for tests and procedures as directed by the nurse.
  • Removes the patient from the system upon discharge or transfer.
  • Monitors and addresses noise levels of the unit to improve patient satisfaction.
  • Reports observations, conditions, and problems of patients to licensed personnel.
  • Provides for the privacy of patients and families, keeping patient safety in mind.
  • Monitors and orders supplies to maintain par levels and notifies leadership of shortages.

Requirements

  • High School diploma or equivalent education (GED, verification of homeschool equivalency, etc.).
  • Two years of secretarial/office experience or patient care experience.
  • Prior healthcare experience and/or knowledge of medical terminology preferred.
  • Valid BLS Certification preferred.

Nice-to-haves

  • Experience in software troubleshooting.
  • Proficiency in speaking, reading, and writing the English language.
