About the position

The Unit Clerk (PRN) position at USA Health involves supporting the Complex Surgical Unit by performing various clerical and administrative tasks essential for the smooth operation of the unit. This role is crucial in ensuring compliance with hospital policies, maintaining accurate patient records, and facilitating communication among healthcare team members. The Unit Clerk will work part-time and is expected to manage multiple responsibilities with minimal supervision while adhering to safety and infection control standards.

Responsibilities

  • Abides by and enforces all compliance requirements and policies in an ethical manner consistent with the organization's values.
  • Adheres to hospital policies including confidentiality and participates in the evaluation of environmental and safety issues.
  • Assists with orientation of new employees as assigned.
  • Utilizes proper body mechanics when moving equipment necessary for essential functions.
  • Maintains a clean work area with appropriate forms and supplies.
  • Responds to call lights and promptly relays information to the appropriate nursing personnel.
  • Acknowledges the presence of staff, physicians, and visitors at the nursing station.
  • Runs errands to support the needs of the unit.
  • Processes requests and orders during computer downtime.
  • Checks unit census and updates condition codes.
  • Utilizes personal computer or terminal to access the Hospital Information Systems.
  • Enters requests for unit maintenance and repair, schedules diagnostic procedures, and orders supplies.
  • Enters physician orders accurately and in a timely manner, processes patient charges, and completes patient transfers and discharges.
  • Updates patient diet needs daily on HIS and replenishes chart stationary.
  • Serves as receptionist and answers the telephone in a prompt and courteous manner.
  • Performs general clerical duties and prepares unit admission packs.
  • Monitors patients' charts frequently for signed MD orders and communicates with physicians, patients, families, and healthcare team.
  • Maintains accurate and complete records by posting all forms and reports in correct order.
  • Updates kardex as needed and completes orders by forwarding forms utilizing the FAX machine.
  • Performs chart reduction and maintains a neat and properly ordered chart.
  • Prepares chart for Medical Records upon discharge and completes all mandatory unit, educational, and hospital requirements.
  • Utilizes cost-effective practices in performing all aspects of the job and adheres to Infection Control and Safety Standards.
  • Keeps unit material/flow sheets stocked and keeps unit desk free of clutter at all times.
  • Transcribes delivery information from the medical records into the delivery register and processes laboratory samples for analysis promptly.
  • Participates on committees and in Performance Improvement activities as assigned, ensuring regular and prompt attendance.

Requirements

  • High school diploma or equivalent.
