About the position

The Unit Secretary for the 6th Floor Med Surg department plays a crucial role in supporting the nursing unit and ensuring smooth operations within the healthcare setting. Under the direct supervision of the nurse manager or their designee, the Unit Secretary is responsible for a variety of clerical and public relations duties that are essential for maintaining the efficiency of the nursing unit. This position requires a proactive approach to managing patient records and facilitating communication between nursing staff, ancillary departments, physicians, patients, and their families. The Unit Secretary is tasked with performing quality non-direct patient care and non-clinical services, which includes the accurate and complete management of patient medical records. This involves maintaining patient charts in an appropriate and sequential order as per established policies, alerting the necessary personnel in emergency situations, and transcribing accurate information on patient records. The role also requires the filing of reports and test results, setting priorities, and separating emergency/stat orders from regular workflow. Additionally, the Unit Secretary is responsible for posting and removing departmental bulletin board notices, ensuring that all postings are timely and reflect the most recent updates. Transporting medications as defined and authorized by Pharmacy Services is another critical responsibility of the Unit Secretary. The position may also involve performing other duties as required to support the nursing unit effectively. This role is vital in ensuring that the nursing staff can focus on patient care while the Unit Secretary manages the administrative tasks that keep the unit running smoothly.

Responsibilities

  • Perform clerical and public relations duties on a nursing unit

Requirements

  • High school diploma or equivalent
  • Completion of a secretarial certification course or equivalent experience
  • Ability to transcribe orders accurately within 3 months of hire
  • Excellent interpersonal and organizational skills
