About the position

The Unit Secretary in the Cardiology department at Ingalls Memorial Hospital plays a crucial role in supporting healthcare professionals by acting as a central information source. This part-time position involves providing clerical support to ensure the smooth operation of the Patient Care Center, maintaining patient privacy, and facilitating communication among patients, families, and healthcare teams. The role requires a strong commitment to clinical excellence and patient advocacy, with responsibilities that include transcription of physician orders and management of patient records.

Responsibilities

  • Promotes the values and mission of Ingalls Memorial Hospital.
  • Promotes clinical excellence and service.
  • Acts as a strong patient advocate.
  • Demonstrates knowledge of proper telephone function and etiquette.
  • Screens and coordinates incoming and outgoing calls, recording and reporting pages and messages.
  • Answers call lights promptly, communicates patient needs to appropriate personnel, and follows up on patient requests.
  • Transcribes medical staff orders accurately and timely.
  • Ensures accurate processing of orders and charges from admission through hospitalization.
  • Maintains accurate patient medical records and unit records.
  • Assembles medical records in the proper sequence, checking that all forms are stamped.
  • Identifies outlier reports and forms, noting on audit tools for completion.
  • Participates in inventory ordering and distribution of clerical supplies and patient forms.
  • Monitors discharge activities related to the billing process.

Requirements

  • Unit Secretary/Clerical experience, background and/or training
  • High School diploma or equivalent
  • Ability to function effectively in an extended team environment
  • Ability to resolve conflict effectively
  • Ability to give and receive feedback
  • Computer literate

Nice-to-haves

  • Medical Terminology background
  • Transcription experience
  • Experience with Microsoft Word & Excel
