About the position

The position involves performing general clerical and receptionist duties that are essential to the operation of a patient care unit. This includes preparing, compiling, and maintaining records related to patient care. The role requires working alternating weekends and varied evenings, specifically from 3 PM to 11 PM. The individual will be responsible for a variety of tasks related to the admission, discharge, and transfer of patients, ensuring that all necessary documentation is accurately completed and maintained throughout the patient's stay. Key responsibilities include preparing patient charts, laboratory and x-ray slips for new admissions, and entering this information into the Keane system. The individual will also be responsible for notifying the appropriate departments when patients are admitted, discharged, or transferred, and for maintaining accurate charts during patient stays. This role requires a high level of organization and attention to detail, as well as the ability to communicate effectively with patients, visitors, and healthcare staff. In addition to clerical duties, the position involves acting as a receptionist on the unit, providing information to visitors, and ensuring that the needs of patients are met through proactive rounds. The individual will also be responsible for maintaining neat and orderly bulletin and locator boards, ordering supplies for the unit, and participating in collaborative councils to improve patient care. Overall, this position plays a crucial role in supporting the healthcare team and enhancing the patient experience.

Responsibilities

  • Performs a variety of duties relative to admission, discharge and/or transfer of patients.
  • Prepares patient charts, laboratory and x-ray slips for new admissions.
  • Enters information into Keane and distributes to appropriate departments.
  • Assembles patient charts and forwards completed charts to Medical Records within established time intervals.
  • Notifies assigned departments when patients are admitted, discharged, transferred, or placed on the 'Everyday List'.
  • Maintains accurate charts during patient stays by performing various clerical duties.
  • Files appropriate paperwork such as Medicare forms into charts.
  • Assists patients in signing up for the 'Patient Portal'.
  • Contacts Transport team for patient transportation and special tests.
  • Prepares records and reports such as daily census and attendance report.
  • Ensures isolation signs are utilized for patients assigned to isolation rooms.
  • Maintains neat and orderly bulletin and locator boards for the unit.
  • Notifies supporting departments of needs and/or changes on patient units.
  • Orders supplies needed on the unit.
  • Acts as a receptionist on the unit, providing information and directing visitors.
  • Uses appropriate telephone etiquette to facilitate communication.
  • Answers call bells and participates in proactive rounds to meet patients' needs.
  • Acts as an Ambassador of the hospital to patients and visitors, promoting good public relations.
  • Participates in computer rounds to ensure technology is functioning on the unit.
  • Provides coverage where needed at the request of supervisory staff.
  • Participates in Collaborative Councils.

Requirements

  • High School Diploma or equivalent required.
  • Prior related experience preferred.
  • Typing speed of 30 wpm and/or data entry skills of 80 keystrokes per minute required.
  • Ability to communicate effectively.
