About the position

The Unit Secretary at Ochsner Health System plays a crucial role in supporting the administrative functions of the assigned unit within the Ochsner Medical Center in Baton Rouge, LA. This full-time position is designed for individuals who are eager to contribute to the healthcare environment, even without prior experience. The Unit Secretary assists with the admit, discharge, and transfer functions of the unit, ensuring that all processes run smoothly and efficiently. This role involves a variety of clerical tasks, including processing reservations, managing phone communications, and following up on requests from patients, families, and staff in a timely manner. The Unit Secretary serves as a Patient Experience Ambassador, adapting their communication style to meet the needs of diverse patient populations and ensuring a respectful and professional interaction with all individuals in the healthcare setting. In addition to clerical support, the Unit Secretary is responsible for assessing EPIC chart reports to ensure proper unit charges are applied. The position requires a thorough understanding of medical terminology and the ability to work independently while exercising sound judgment in challenging situations. The Unit Secretary must possess strong organizational, planning, and time management skills to effectively handle the demands of the role. The job also requires maintaining knowledge of current federal, state, and local laws, as well as accreditation standards and regulatory agency requirements that apply to the assigned area of responsibility. Compliance with the employer's Compliance & Privacy Program and Standards of Conduct is essential, including the immediate reporting of any known or suspected unethical behaviors or compliance-related concerns.

Responsibilities

  • Provides clerical support for the department.
  • Responds to requests from patients, family, and staff and refers to appropriate personnel as needed.
  • Serves as Patient Experience Ambassador for the unit.
  • Assesses EPIC chart reports to ensure proper unit charges.
  • Adapts behavior to the specific patient population, including respect for privacy and communication style.
  • Performs other related duties as required.

Requirements

  • High School diploma or equivalent required.
  • No prior work experience required.
  • Certification in Basic Life Support (BLS) from the American Heart Association within 90 days of hire is required.
  • Must have computer skills and dexterity for data entry and retrieval of information.
  • Effective verbal and written communication skills are necessary.
  • Proficiency with Windows-style applications and various software packages specific to the role is required.
  • Strong interpersonal skills and a thorough understanding of current medical terminology are essential.
  • Self-directed with the ability to work independently and exercise sound judgment in difficult situations.
  • Strong organizational, planning, and time management skills are required.
