About the position

The Unit Secretary plays a crucial role in the healthcare setting by performing essential clerical tasks that support the operations of the unit. This non-licensed position is responsible for preparing medical records for discharges, new admissions, and transfers, ensuring that all documentation is accurate and up-to-date. The Unit Secretary must communicate effectively, both verbally and in writing, to relay important information to staff and patients while maintaining confidentiality at all times. Handling telephone communications with courtesy and respect is a key aspect of the role, as is the ability to assist co-workers and respond to inquiries from the public as needed. In addition to clerical duties, the Unit Secretary is expected to possess a working knowledge of hospital policies and procedures, which aids in maintaining an effective rapport with all customers. The role requires a commitment to supporting the Medical Center's mission and vision positively, as well as maintaining regular and predictable attendance. The Unit Secretary may also be assigned other essential duties as needed, contributing to the overall efficiency and effectiveness of the healthcare team.

Responsibilities

  • Prepare medical records for discharge, new admissions, and transfers.
  • Communicate information verbally and via written messages.
  • Handle telephone communication with courtesy, accuracy, and respect for confidentiality.
  • Perform clerical duties as requested by the medical staff.
  • Possess a working knowledge of hospital policies and procedures.
  • Handle inquiries from the public as needed.
  • Assist co-workers as needed or requested.
  • Maintain effective rapport with all customers.
  • Support the Medical Center's Mission/Vision/Philosophy positively.
  • Maintain regular and predictable attendance.
  • Perform other essential duties as assigned.

Requirements

  • High School diploma or equivalent is required.
  • Preferred current Certified Nurse Assistant (CNA) certification.
  • Current Basic Life Support (BLS) certification is required.
  • Previous experience in clerical tasks is desired.
  • Experience in computers is desired.
  • Knowledge of medical terminology is an asset but not required.
  • Good verbal communication skills are a must.
  • Self-motivated with the ability to work within established policies and procedures.

Nice-to-haves

  • Experience in medical terminology is preferred but not mandatory.
