About the position

The Harris Center for Mental Health and IDD is seeking a dedicated Unit Support to join our PES Team. This role is crucial in assisting licensed clinical staff with various administrative tasks that ensure the smooth operation of our services. Under the guidance of the Clinical Team Leader or Program Director, the Unit Support will be responsible for a range of duties including answering phones, directing calls to the appropriate staff, and managing consumer medical records. This position requires a high level of organization and attention to detail, as the Unit Support will be tasked with setting up and maintaining working charts, entering client information into software applications, and managing demographic data. Additionally, the role involves opening and closing assignments accurately in the system when consumers are admitted or discharged, as well as notarizing and organizing court papers as needed. The Unit Support will also play a vital role in maintaining accurate daily unit census records, which includes keeping consumer logs and Eboard updated. Responding promptly and professionally to requests from licensed clinical staff is essential, as is ensuring that the unit and dock areas are stocked with the most current forms. The Unit Support will be expected to complete tasks assigned by the Clinical Team Leader or Program Director in a timely manner, and generate or produce reports, documents, or forms as requested. This position is ideal for someone who is well-organized, has strong time management skills, and is capable of multitasking in a fast-paced environment.

Responsibilities

  • Answer phones in a timely and professional manner, directing calls to appropriate staff.
  • Set up, maintain, and organize consumer medical records, including entering information to generate and print chart labels.
  • Enter consumer information into appropriate software applications.
  • Generate and maintain accurate daily unit census, including maintaining consumer logs and Eboard.
  • Open and close assignments accurately in the system when consumers are admitted or discharged.
  • Respond in a timely and professional manner to requests from licensed clinical staff, such as pulling charts and getting supplies.
  • Supply the unit and dock areas with the most current forms.
  • Complete applicable tasks assigned by the Clinical Team Leader or Program Director in a timely manner.
  • Generate and produce requested reports, documents, or forms as needed.
  • Organize and assist with court papers and provide notary services as needed.

Requirements

  • High School Diploma or GED
  • Minimum one (1) year clerical/receptionist experience
  • Knowledge of general office equipment (telephone, fax, copier)
  • Knowledge of basic office computer applications and hardware
  • Ability to communicate effectively (both oral and written) with staff and the people we serve
  • Demonstrate strong time management skills and ability to multitask
  • Well-organized
  • Bilingual preferred
