About the position

The US Business Operations Manager at Elvie plays a crucial role in the Sales and Marketing Team, ensuring the smooth operation of sales processes across healthcare and retail channels. This position focuses on customer onboarding, maintaining internal systems, and providing accurate data to assess sales performance. The ideal candidate is detail-oriented, organized, and thrives in a fast-paced environment, contributing to the overall mission of improving women's health and wellbeing.

Responsibilities

  • Communicating master data to cover accounts including safety and regulatory compliance, UPC/SKU numbers, MSRP and dealer pricing.
  • Supporting the NPD process with new accounts including PDP checks, product set-up, and cross-functional communication.
  • Maintaining accurate customer contact information and special delivery instructions.
  • Completing the new customer onboarding process both internally and externally.
  • Owning the promotional setup process and tracking promotional performance.
  • Completing new vendor setup forms for customers.
  • Setting up, managing, and updating product ASIN details in systems.
  • Informing customers of product delays or out-of-stock items.
  • Maintaining all internal systems documentation.
  • Setting up and documenting customer portals and applying for credit insurance with the Financial Controller.
  • Providing all required documentation for new customers.
  • Coordinating and scheduling relevant training with the sales team.
  • Directing new sales leads to the appropriate account manager.
  • Coordinating with the Marketing team on tradeshows and travel arrangements.
  • Arranging, tracking, and reporting on sample units for retail, DMEs, and clinicians.
  • Conducting preliminary analysis of sales reports and marketplace data.
  • Maintaining training on all products and processes, attending training sessions as required.
  • Providing shipment updates, revenue, and account performance on a weekly, monthly, and quarterly basis.
  • Assisting with verification of product data on customer websites.

Requirements

  • 4+ years of experience providing administrative support, ideally in a healthcare and/or retail sales environment.
  • Ability to work well in a fast-paced, professional environment while navigating complex sales processes and multi-stakeholder projects.
  • Highly organized, with the ability to manage multiple priorities.
  • Proficient in Microsoft Office applications, particularly Excel, with the ability to learn new programs.
  • Strong attention to detail.
  • Ability to build strong relationships with internal and external customers.
  • Exceptional communication skills (verbal and written).
  • Self-starter that can adapt to change quickly.
