About the position

The Vehicle Operations Outside Coordinator II position at Cox Automotive involves managing account relationships and ensuring that customer requirements are met effectively. This role requires the individual to work closely with commercial clients, providing them with updates regarding the condition of their vehicles and obtaining necessary approvals for reconditioning and repairs. The coordinator will be responsible for coordinating work with the mechanic shop to ensure timely repairs and will communicate progress back to the clients. In addition to managing client communications, the coordinator will review and update condition reports, approve and audit vehicle repair reports, and make recommendations for vehicle reconditioning to enhance their value. The role also includes responding to customer inquiries, providing quality service, and assisting in problem resolution. The coordinator will work in conjunction with Lot Operations and Recon departments to ensure the appropriate movement of vehicles to the shops and the timely completion of reconditioning tasks. The position requires the preparation of sale vehicle run processes, including run orders and scheduling, in coordination with account representatives and administrators. The coordinator will also be responsible for ordering and accounting for vehicle keys, ensuring proper scanning and organization of account vehicles, and reviewing vehicles in the sale lineup to ensure readiness for sale. Safety is a key commitment in this role, and the coordinator is expected to follow all safety procedures and actively participate in safety activities. Other duties may be assigned by management as needed.

Responsibilities

  • Manage account relationships and maintain effective communications with customers.
  • Work with commercial clients to relay information regarding the condition of their vehicles and obtain required approvals for reconditioning and repairs.
  • Coordinate work with the mechanic shop to ensure timely repairs and communicate progress back to clients.
  • Review and update condition reports; approve and audit vehicle repair reports.
  • Walk vehicles with account representatives and make recommendations for reconditioning to increase vehicle value.
  • Respond to customer inquiries relating to vehicles and provide quality service.
  • Communicate with Lot Operations and Recon departments to ensure appropriate movement of vehicles to the shops and timely completion of reconditioning.
  • Prepare sale vehicle run processes including run order, scheduling, and notice to customer accounts in coordination with account representatives and administrators.
  • Work with commercial clients and key vendors to order and account for vehicle keys.
  • Ensure appropriate scanning and organization of account vehicles in collaboration with lot operations and quadrant coordinators.
  • Review vehicles in the sale lineup, locate missing vehicles, and work with account representatives to ensure vehicles are ready for sale.
  • Demonstrate a commitment to safety by following all safety and health procedures and modeling related behaviors.
  • Perform other duties as assigned by management.

Requirements

  • High School Diploma/GED and 3 years' experience in a related field, or a combination of education and experience such as any level degree/certification beyond a HS diploma/GED in a related discipline, or 5 years' experience in a related field.
  • Valid Driver's License and safe driving record required.
  • Ability to drive vehicles with standard and automatic transmission.
  • Effective communication and organization skills required.
  • Commitment to providing excellent customer service essential.

Nice-to-haves

  • Prior experience in vehicle reconditioning or general auto body knowledge is helpful.
  • Satisfactory computer skills and the ability to utilize a portable terminal or similar devices preferred.
