About the position

As a Vehicle Operations Outside Coordinator II at Cox Automotive, you will play a crucial role in managing account relationships and ensuring that customer requirements are met effectively. This position requires you to maintain effective communication with commercial clients regarding the condition of their vehicles, obtaining necessary approvals for reconditioning and repairs. You will coordinate with the mechanic shop to ensure timely repairs and keep clients informed about the progress of their vehicles. Your responsibilities will also include reviewing and updating condition reports, approving and auditing vehicle repair reports, and making recommendations for reconditioning to enhance vehicle value. In this role, you will be expected to respond to customer inquiries related to vehicles, providing quality service and assisting in problem resolution. You will communicate with Lot Operations and Recon departments to ensure the appropriate movement of vehicles to the shops and guarantee timely completion of reconditioning tasks. Additionally, you will prepare the sale vehicle run process in coordination with account representatives and administrators, which includes creating run orders, scheduling, and notifying customer accounts. You will also work closely with commercial clients and key vendors to manage keys and ensure proper scanning and organization of account vehicles. Your attention to detail will be essential as you review vehicles in the sale lineup, locate any missing vehicles, and collaborate with account representatives to ensure that all vehicles are ready for sale. Safety is a top priority, and you will be expected to visibly demonstrate a commitment to safety by following all health procedures and participating in safety activities aligned with Safety Excellence. Other duties may be assigned by management as needed.

Responsibilities

  • Manage account relationships and maintain effective communications with clients.
  • Relay information regarding vehicle conditions to commercial clients and obtain necessary approvals for repairs.
  • Coordinate with the mechanic shop to ensure timely repairs and communicate progress to clients.
  • Review and update condition reports and approve vehicle repair reports.
  • Walk vehicles with account representatives and recommend reconditioning to increase vehicle value.
  • Respond to customer inquiries related to vehicles and provide quality service.
  • Communicate with Lot Operations and Recon departments to ensure timely vehicle movement and completion of reconditioning.
  • Prepare sale vehicle run processes including run orders, scheduling, and customer notifications in coordination with account representatives.
  • Order and account for keys with commercial clients and key vendors.
  • Ensure appropriate scanning and organization of account vehicles with lot operations and quadrant coordinators.
  • Review vehicles in the sale lineup, locate missing vehicles, and ensure readiness for sale with account representatives.
  • Demonstrate commitment to safety by following health procedures and participating in safety activities.

Requirements

  • High School Diploma or GED and 3 years of experience in a related field, or a combination of education and experience equivalent to 5 years in a related field.
  • Valid Driver's License and a safe driving record.
  • Ability to drive vehicles with standard and automatic transmission.
  • Effective communication and organizational skills.
  • Commitment to providing excellent customer service.

Nice-to-haves

  • Prior experience in vehicle reconditioning or general auto body knowledge.
  • Satisfactory computer skills and ability to utilize portable terminals.
