About the position

The Vehicle Operations Outside Coordinator at Manheim is a pivotal role responsible for managing the coordination of vehicles for sale, ensuring that all operational processes are executed efficiently and effectively. This position requires close collaboration with various accounts to facilitate the timely sale of vehicles, review the work performed, and maintain an effective operational flow. The coordinator will be the primary point of contact for commercial clients, relaying critical information regarding the condition of their vehicles and obtaining necessary approvals for reconditioning and repairs. In this role, the coordinator will work closely with the mechanic shop to ensure that repairs are completed on time and will communicate progress updates back to clients. The position also involves reviewing and updating condition reports, approving and auditing vehicle repair reports, and making recommendations for reconditioning to enhance vehicle value. The coordinator will respond to customer inquiries, provide quality service, and assist in resolving any issues that may arise. Additionally, the coordinator will liaise with Lot Operations and Recon departments to ensure the appropriate movement of vehicles to the shops and the timely completion of reconditioning tasks. They will prepare the sale vehicle run process in coordination with account representatives and administrators, ensuring all necessary documentation and scheduling are in place. The role also includes managing the organization of account vehicles and ensuring that all vehicles are ready for sale. Safety is a top priority, and the coordinator is expected to model safe behaviors and actively participate in safety activities aligned with Safety Excellence. Other duties may be assigned by management as needed.

Responsibilities

  • Manage account relationships and maintain effective communications to meet customer requirements.
  • Work with commercial clients to relay information regarding vehicle conditions and obtain approvals for reconditioning and repairs.
  • Coordinate work with the mechanic shop to ensure timely repairs and communicate progress to clients.
  • Review and update condition reports; approve and audit vehicle repair reports.
  • Walk vehicles with account representatives and make recommendations for reconditioning to increase vehicle value.
  • Respond to customer inquiries related to vehicles and provide quality service.
  • Communicate with Lot Operations and Recon departments to ensure appropriate movement of vehicles and timely completion of reconditioning.
  • Prepare sale vehicle run processes including run order, scheduling, and notices to customer accounts in coordination with account representatives.
  • Work with commercial clients and key vendors to order and account for keys.
  • Ensure appropriate scanning and organization of account vehicles in collaboration with lot operations and quadrant coordinators.
  • Review vehicles in the sale lineup, locate missing vehicles, and ensure vehicles are ready for sale.
  • Demonstrate commitment to safety by following all safety and health procedures and participating in safety activities.

Requirements

  • High School Diploma/GED and 3 years' experience in a related field, or a combination of education and experience such as any level degree/certification beyond a HS diploma/GED in a related discipline, or 5 years' experience in a related field.
  • Basic computer skills required.
  • Ability to provide good customer service and multi-task.

Nice-to-haves

  • Previous auction and/or driving experience required.
  • Ability to drive vehicles with standard and automatic transmission.
  • Knowledge of mechanical repairs and condition report writing preferred.
