About the position

The Vehicle Operations Support Specialist I at Cox Automotive is responsible for coordinating and managing the reconditioning process of vehicles. This role involves scheduling, monitoring, and communicating all activities related to vehicle reconditioning, ensuring accurate data entry, and maintaining customer relationships throughout the process. The specialist will evaluate reconditioning needs, provide quotes, and ensure customer satisfaction while adhering to safety and quality standards.

Responsibilities

  • Schedule, monitor, and communicate all activities related to vehicle reconditioning.
  • Perform data entry and verify customer vehicle information in the system.
  • Evaluate reconditioning needs and provide timely and accurate quotes.
  • Perform walk-arounds of vehicles to assess cosmetic reconditioning needs.
  • Estimate costs for cosmetic repairs and discuss with customers for approval.
  • Coordinate with reconditioning shop areas for vehicle repairs and post charges to accounts.
  • Create and maintain charges associated with reconditioning fees.
  • Check for recalls on all units and document results.
  • Work with P&P and Accounting staff to ensure timely payment for billings.
  • Build strong service relationships with customers and manage their expectations.
  • Respond to customer inquiries and assist in resolving problems.
  • Enter all pertinent information into AS400, AutoPoint, and other tools.
  • Utilize systems to monitor and track vehicle repairs.
  • Communicate and schedule repairs with Recon Shop management.
  • Monitor vehicles through the reconditioning process to meet timelines.
  • Review completed work to ensure customer quality standards are met.
  • Soft sell additional services to dealers upon delivery of existing work.
  • Follow up with customers to confirm completion and satisfaction.
  • Demonstrate safety commitment by following all safety procedures.

Requirements

  • High school diploma or GED.
  • Generally less than 2 years of experience.
