About the position

The Vehicle Operations Support Specialist II position at Cox Automotive is a critical role that involves working closely with accounts to coordinate the sale of vehicles. This position requires a strong focus on customer service and operational efficiency, ensuring that vehicles are prepared for sale in a timely manner. The specialist will be responsible for managing account relationships, maintaining effective communication with commercial clients, and ensuring that customer requirements are met. This role is specifically for the second shift, from Friday through Tuesday, and is based in Dallas, TX. In this position, the specialist will relay information regarding the condition of vehicles to clients and obtain necessary approvals for reconditioning and repairs. They will coordinate with the mechanic shop to ensure timely repairs and communicate progress back to clients. Additionally, the specialist will review and update condition reports, approve and audit vehicle repair reports, and make recommendations for reconditioning to enhance vehicle value. Responding to customer inquiries and providing quality service to resolve problems is also a key responsibility. The role requires collaboration with various departments, including Lot Operations and Recon, to ensure the appropriate movement of vehicles and timely completion of reconditioning. The specialist will prepare the sale vehicle run process in coordination with account representatives and administrators, ensuring all necessary documentation and scheduling is completed. They will also be responsible for managing keys for vehicles and ensuring proper scanning and organization of account vehicles. Safety is a priority, and the specialist is expected to follow all safety procedures and actively participate in safety activities.

Responsibilities

  • Manage account relationships and maintain effective communications to meet customer requirements.
  • Work with commercial clients to relay information regarding vehicle conditions and obtain approvals for reconditioning and repairs.
  • Coordinate work with the mechanic shop to ensure timely repairs and communicate progress back to clients.
  • Review and update condition reports; approve and audit vehicle repair reports.
  • Walk vehicles with account representatives and make recommendations for reconditioning to increase vehicle value.
  • Respond to customer inquiries relating to vehicles and provide quality service to resolve problems.
  • Communicate with Lot Operations and Recon departments to ensure appropriate movement of vehicles and timely completion of reconditioning.
  • Prepare sale vehicle run process including run order, scheduling, and notice to customer accounts in coordination with account representatives and administrators.
  • Order and account for keys with commercial clients and key vendors.
  • Ensure appropriate scanning and organization of account vehicles in collaboration with lot operations and quadrant coordinators.
  • Review vehicles in sale line up, locate missing vehicles, and work with account representatives to ensure vehicles are ready for sale.
  • Demonstrate safety commitment by following all safety and health procedures and participating in safety activities.
  • Perform other duties as assigned by management.

Requirements

  • High School Diploma/GED and 3 years' experience in a related field, or a combination of education and experience equivalent to 5 years in a related field.
  • Valid Driver's License and a safe driving record are required.
  • Ability to drive vehicles with standard and automatic transmission.
  • Effective communication and organization skills are required.
  • Commitment to providing excellent customer service is essential.

Nice-to-haves

  • Prior experience in vehicle reconditioning or general auto body knowledge is helpful.
  • Satisfactory computer skills and the ability to utilize a portable terminal or similar devices are preferred.
